Notes from the client

  • Not looking for a trainer or a facilitator, looking for a L&D support/training coordinator/communication assistant resource.
  • Client has several contractors that provide the actual training.
  • This resource would be supporting these trainers.
  • Trainings are largely held at 9:00 AM Eastern Time. (Resource would need to be available on Eastern Time Zone.)
  • L&D background/education is highly encouraged (ability to recognize learning objectives and create content/communications around them).
  • DEI and clean energy background/training is not required but nice if they have.
  • Support organization-wide communication strategy (drafting communication with both internal and external stakeholders, ensuring DEI strategy aligns with climate equity strategy to support underserved communities).
  • Understanding of Cisco Webex training/meeting coordination to provide technical/background support during training sessions (setting up meetings/trainings, admitting attendees, setting up breakout groups, tracking timing, coordinating with trainers in the back channel, troubleshooting with attendees, monitoring email simultaneously). Training will be provided but exposure is helpful.
  • Top Skills: Ability to multitask and coordinate amongst several different teams understanding due dates, strong verbal and written communication, basic data analysis skills (basic Excel / pivot table skills to analyze trainings, DEI indicators, etc.).
  • Basic data analysis - resource will be supporting DEI indicators - metrics to measure progress of client’s policies and programs, synthesize data and turn them into insights, display progress to stakeholders with data.
  • Asana, MS Project, etc. - training will be provided but experience is a nice to have.
  • Interview Process: likely two interviews (initial screening followed by slightly longer interview),
  • IT systems that will be used: Microsoft Office (Excel, Power Point, Word, Forms, Teams, SharePoint), Microsoft Project, Asana, Webex, Lytho (InMotion)

Mandatory Qualifications:
  • At least 5 years of experience in training event support, including technical assistance during training sessions, encompassing management of org-wide communications and data gathering and analysis.
  • Experience with coordination of technical process/systems for training, event coordination, and tech support (particularly Webex Webinar).
  • Strengths in drafting of organization-wide communication that relay information about events, initiatives, resources, and learning and development opportunities.
  • Qualitative and quantitative data gathering experience; Ability to synthesize information into concise reporting.
  • Analytical skills necessary for the development of mandated annual reporting.
  • Advanced Skills: Excel (pivot tables and other data merging).
  • Experience drafting internal communications for a range of audiences and stakeholders.
  • Familiarity with virtual meeting and webinar tools like Zoom, MS Teams, and Webex.
  • Adept at cross-team collaboration and joint communication between teams and Resource Groups.
  • Organized, task-oriented, mindful of important timelines and due dates.
  • Ability to coordinate multiple calendars to schedule group meetings and communicate as necessary with said groups.
  • Technical skills to set up and run virtual training opportunities including launching, operating, and troubleshooting live events.
  • Must have the ability to keep information shared to them in strictest confidence.
  • Ability to maintain the confidentiality and integrity of information shared as part of their tasks.
  • Ability to work independently or with minimal supervision.
  • Bachelor's Degree, preferably in Communications, Public Relations, Marketing, Public Administration, or similar major.
  • Any certifications in Statistics, Data Analysis is a plus.
  • Serve as an administrative adjunct to the DEI Team, coordinating closely with DEI Team Members to complete tasks necessary to the advancement of Team mission and business goals.
  • Assist the Diversity, Equity, and Inclusion Advisor with background technical tasks pertinent to host successful training sessions, coordinate the registration and communication of training events and resources.
  • Assist the Senior Project Manager with data collection, and synthesis for DEI indicators, and reporting of confidential and other pertinent information to complete mandatory reporting .
  • Coordinate with other Teams and Resource Groups for meetings and cross-collaborative functions.
  • Draft communications across the Authority, as needed, to inform team members and further DEI initiatives.
