JOB SUMMARY
The Fleet Equipment Coordinator reports to the Director, DOT and is responsible for ensuring the effective operation, maintenance, and compliance of the company’s fleet of vehicles and equipment. This role will involve coordinating vehicle transfers, tracking maintenance, and optimizing fleet performance to minimize downtime and ensure safety and regulatory compliance with local, state, and federal laws. The Fleet Equipment Coordinator also oversees driver training, onboarding, and skill assessments, ensuring compliance with DOT and FMCSA regulations. 
 
DUTIES AND RESPONSIBILITIES

Fleet Management: Oversee scheduling of equipment transfers, and preventive maintenance programs for the company’s fleet and equipment. Coordinate with external vendors for specialized maintenance.
Maintenance Coordination: Develop and implement a preventive maintenance program for all vehicles and equipment, ensuring timely inspections, repairs, and servicing to reduce downtime.
Data Management & Reporting: Serve as the Administrator for the fleet management software, staying current on updates, training opportunities, and new features.
Maintain accurate records of maintenance, repairs, fuel usage, and compliance data. Generate regular reports on fleet performance, cost analysis, and compliance metrics.
Monitor fleet operations to identify opportunities for performance improvement, fuel efficiency, and lifecycle optimization of vehicles and equipment.
Assist in fleet budget planning, cost control, and implementing cost-saving measures.
Track equipment utilization and transfer equipment based on organizational needs.
Driver Training & Support: Conduct onboarding, orientation, and remedial training for drivers to ensure compliance with safety standards and efficient equipment use. Provide ongoing education on regulatory updates, best practices, and operational procedures.
Permits and Licensing: Manage title registrations, tags, and permit books for all company-owned and leased assets. Apply for permits and certifications (oversize, IFTA, Hazmat, NMFTA) for the company.
Compliance and Safety: Ensure compliance with DOT, FMCSA, and other regulatory standards, monitoring adherence to Hours of Service and maintaining up-to-date driver files.
Oversee the Safety Management System (SMS) to ensure accurate records and manage roadside inspections and citations, including overweight, traffic violations, etc.
Assist with the filing of quarterly fuel taxes, Heavy Vehicle Use Tax, and MCS-150 renewals in a timely manner.
Conduct daily audits of drivers to ensure compliance and productivity through a fleet management and tracking software system.
Review Driver Vehicle Inspection Reports (DVIR) daily and communicate with driver management to correct and validate the resolution.

 
EXPERIENCE, EDUCATION AND REQUIREMENTS

High school diploma or equivalent required; Associate’s degree in business, logistics, or a related field preferred.
3+ years of experience in fleet management, equipment coordination, or a related field, preferably in an operations or environmental services environment.

 
SKILLS AND COMPETENCIES

Strong knowledge of DOT and FMCSA regulations and fleet management principles.
Excellent organizational skills with the ability to manage multiple priorities.
Proven experience in fleet operations, compliance, and equipment maintenance.
Strong communication skills to train and coordinate with drivers, vendors, and management.
Technical understanding of vehicle and equipment maintenance and repair processes.
Ability to analyze fleet performance data and generate actionable insights.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Proficiency in fleet management software and reporting tools.

 
PHYSICAL DEMANDS AND ENVIRONMENTAL CONDITIONS

Frequent sitting and tasks involving repetitive motions using wrists, hands and fingers are required.
Frequent walking or standing is required.
Occasional carrying of weights from 0-25 pounds may be required.
Role involves both office work and site visits to inspect fleet vehicles and equipment.
Occasional travel to vendor locations, service providers, or job sites may be required.

Pay: $25 - $34 per hour
