Role OverviewThe Corporate Events Planner supports the planning and execution of a wide range of company events across multiple office locations. This role provides logistical, administrative, and coordination support for events ranging from small onsite meetings to offsite team summits and large companywide gatherings. The Corporate Events Planner also supports the organization’s business-to-business conference attendance strategy by coordinating logistics, tracking participation, and maintaining clear records related to external events.
The Corporate Events Planner works closely with team members across the organization to ensure events are well planned, clearly communicated, and executed smoothly. This role requires strong organizational skills, attention to detail, and the ability to manage multiple events and priorities at the same time. How We CollaborateThis role may offer a hybrid work setup, blending time in the office with remote work as business needs evolve. We enjoy coming together in person to collaborate, connect with teammates, and partner with clients, and may prioritize candidates who live within 50 miles of the following Rincon offices: Oakland, San Jose, Sacramento, Monterey, San Luis Obispo, Santa Barbara, Ventura.
Key Duties
and ResponsibilitiesPlan and coordinate events of varying size and complexity across our office locations (currently eight)Support onsite meetings, offsite retreats, trainings, summits, and companywide eventsManage event logistics from initial request through execution and post event follow upDevelop and maintain event timelines, task lists, and planning checklistsCoordinate venue sourcing, conference room rentals, catering, audio visual needs, transportation, and lodgingSupport planning of mixers, dining activities, and multi-day offsite experiencesPrepare requests for proposals, coordinate vendor selection, and support contract review and negotiation under guidanceTrack event details including attendance, room setups, food and beverage needs, accessibility considerations, and special requestsSupport the organization’s conference attendance strategy, including coordinating registrations, travel logistics, and schedules for team members attending external conferencesServe as a point of contact for internal teams and external vendors throughout the planning processWork along with the Communications, Marketing, Administrative, and People and Culture teams to ensure alignment and smooth coordinationSupport multiple concurrent events while maintaining accuracy and meeting deadlinesAssist with onsite event support as needed, including troubleshooting and last-minute adjustmentsSupport post event follow up including feedback collection, invoice processing, and documentationQualificationsTwo or more years of experience in corporate event planning, office operations, or a related administrative roleDemonstrated understanding of the event planning process and the proper sequence of planning activities including budget adherenceExperience building timelines, prioritizing tasks, and coordinating logistics across multiple stakeholdersExposure to contract-related processes including requests for proposals and vendor agreementsStrong organizational skills and excellent attention to detailClear written and verbal communication skillsAbility to work effectively across several teams and office locationsProactive, dependable, and solutions-oriented work style with a positive can-do attitudeInvesting In YouThe hourly range for this full-time non-exempt position is $36.00-$43.00, plus a generous benefits program.

ranges are based on the market median of similar jobs, according to third-party salary benchmark surveys. Base pay is determined based on internal equity and a candidate’s job-related knowledge, skills, and experience.
