OverviewFamily Centers, a nonprofit organization in Fairfield County, is seeking a highly organized Administrative Specialist to provide office administration support at our Greenwich, CT headquarters. This is an excellent opportunity for a detail-oriented professional who enjoys supporting leadership teams, managing office operations, and delivering exceptional customer service in a mission-driven environment.The RoleServe as the first point of contact for visitors, phone calls, and emails, ensuring excellent customer service.Provide administrative support to the Executive Team, including calendar management, scheduling, and meeting coordination.Oversee day-to-day office operations for our executive offices and Grauer preschool, ensuring efficiency and professionalism.Assist with grant documentation, compliance reporting, and accreditation paperwork.Perform accurate data entry and administrative support for health, education, and human service programs.Manage office supplies and building inventory—ordering and organizing as needed.Monitor facilities issues and contribute to the Safety Committee to maintain a safe work environment.Collaborate with leadership and staff to improve administrative processes and productivity.Perform other related administrative duties as assigned.Qualifications3+ years of administrative, executive assistant, or office management experienceProficiency in Microsoft Office Suite; ability to learn new software quicklyStrong organizational, time management, and multitasking skillsExcellent written and verbal communication skillsAbility to work independently in a fast-paced, team-oriented environmentHigh level of discretion and ability to maintain confidentialityValid driver’s license, reliable transportation, and auto insurance requiredPreferredBachelor’s degreePrior experience in a nonprofit, education, healthcare, or human services environmentAbout Family CentersFamily Centers is a private nonprofit serving lower Fairfield County with health, education, and human service programs.
