If you are looking for an employer that embraces a diverse workforce and provides ongoing professional development, consider Miles & Stockbridge We are seeking an experienced Legal Practice Assistant in one of our Washington DC offices to support our Real Estate and Transactional Finance Practice Group. This role involves supporting a fast-paced commercial real estate practice and assisting with commercial closings. In this position you would be responsible for preparing and reviewing closing documents as well as providing general administrative support to attorneys. Legal Practice Assistant Responsibilities:
- Assist attorneys with managing their workloads and prioritize work to meet all deadlines.
- Manage the client intake process to ensure timely onboarding.
- Work with attorneys and billing team to proactively manage the billing process.
- Work closely with attorneys to manage conflict clearance.
- Use various computer software programs to prepare correspondence and legal documents.
- Draft loan documents.
- Compile signature pages to be sent to signatories.
- Format legal documents including headers/footers, table of contents and table of authorities.
- Compile and submit paper and electronic deliveries.
- Send closing binder to clients after the deal has closed.
- Develop, maintain, and understand the practice group goals to anticipate and proactively support the needs of attorneys.
- Proofread documents for typographical errors.
- Professional communications, both verbally and in writing, with clients and coworkers.
- Perform administrative tasks including opening new matters, entering attorney time, and submitting invoices for payment.
- Handle administrative tasks including preparing case files, filing correspondence (both paper and electronic), photocopying, scanning, and preparing packages for mailing.
- Answering telephones and greeting attorney guests.
- Must have at least 1-3 years of administrative experience in a law firm or professional services organization.
- Experience with real estate closings, property development and other transactions.
- Experience with NetDocuments or other document management systems.
- Experience working with accounting software for attorney time and billing such as LMS.
- Advanced skills in document editing, legal billing and time entry.
- Experience creating new client matters using Intapp.
- Experience working with Fannie Mae, Freddie Mac and/or HUD preferred.
- Ability to exercise discretion and always maintain confidential information.
- Ability to work closely and effectively with all levels of firm and department personnel.
- Proficiency in MS Office Suite applications including Word, Excel, and PowerPoint.
- Work well under pressure and successfully manage multiple projects simultaneously.
- Strong proofreading and editing skills.
- Ability to prioritize work, meet deadlines, work independently and as part of a team.
- Experience coordinating meetings Zoom.
- Effective interpersonal skills and relationship-building skills.
- Strong organizational skills and keen attention to detail.
- Strong oral and written communication skills.
- Ability to demonstrate good judgment.
- Pro-active and self-motivated and directed.
- Able to prioritize and execute tasks in a high-pressure environment.
The pay range for this position is $79,300 - $115,700. The pay range provided is in compliance with state, city, or local employment laws and applies to this location only. Actual pay for this position will be determined based on multiple factors including, but not limited to, knowledge, skills, abilities, experience, current market data, and business needs.
Physical Demands:
While performing the duties of this position, the employee is regularly required to remain in a stationary position or sit for prolonged periods and repeat motions that may include the wrists, hands and/or fingers. The employee is occasionally required to stand and stoop, kneel, or crouch. The employee is frequently required to perform light work that includes lifting and moving objects up to 10 pounds.
