Program Coordinator – Stanford Health Care Hybrid position based on the Stanford campus. Applicants must upload a cover letter and resume. This role reports to the Program Manager and works collaboratively with faculty Program Directors. The Program Coordinator will manage complex coordination needs of Faculty Development Program, SMART‑HM, Quality Improvement Program, Health Equity Program, and Division Wellness Program. The candidate must be highly organized, detail‑oriented, and able to multi‑task independently under limited supervision. Duties and Responsibilities Act on behalf of the supervisor, department manager, or chair in establishing priorities and resolving administrative issues. Oversee scheduling, organizing, and operating complex conferences, seminars, and events, including vendor arrangements, material production, logistics, and budget management. Compose and draft documents and correspondence for presentations, reports, grants, etc., performing editing and fact‑checking. Maintain and update unit documents, displays, reports, brochures, social media, and websites. Plan and schedule calendars independently, resolve conflicts, and arrange travel in compliance with policies. Create complex reports and spreadsheets, process financial transactions, produce and reconcile budget statements, assist with capital or equipment requests, and select vendors. Coordinate routine maintenance services, plan office moves, or minor renovation projects. Lead or supervise the day‑to‑day work of students and/or temporary workers, including scheduling, assigning, reviewing quality, and providing performance input. Desired Qualifications Bachelor’s degree and 3‑5 years experience in program coordination, preferably in an academic medical setting. PMP certification. Strong project management and time‑management skills. Exceptional organizational skills and attention to detail. Ability to prioritize, multitask, and meet deadlines. Excellent written, oral, and interpersonal communication skills. Personal effectiveness and credibility. Proactive identification and addressing of program improvement opportunities. Forward‑thinking mindset with a track record of creative solutions. Proven ability to drive projects from initiation to successful completion. Innovative approaches to administrative and program challenges. Education & Experience (required) High school diploma and four years of administrative experience, or a combination of education and relevant experience. Knowledge, Skills and Abilities (required) Advanced computer skills and experience with office software and email applications. Proven success in following through and completing projects. Excellent organizational skills and attention to detail. Strong verbal and written communication skills. Excellent customer service and interpersonal skills. Ability to prioritize, multitask, and assign work. Ability to take initiative and ownership of projects. Ability to exercise sound judgment independently. Physical Requirements Constantly perform desk‑based computer tasks. Frequently sitting. Occasionally stand, walk, reach/work above shoulders, grasp lightly or forcefully, use a telephone, sort/file paperwork, and lift/carry/push/pull objects up to 10 pounds.
