This role is critical to the WOS team, combining HR generalist responsibilities with administrative and support. The HR Generalist & Administrative Support will play a key role in managing HR functions, including employee relations, compliance, onboarding, and background checks, alongside providing essential administrative site support.

Responsibilities:

Human Resources:

HR Policies and Procedures:
Develop, implement, and maintain HR policies and procedures to ensure compliance with WOS standards and relevant labor laws.
Regularly update the employee handbook and other HR-related documents to reflect current practices and legal requirements.
Employee Onboarding and Offboarding:
Administrate the onboarding process, including the preparation and management of all associated paperwork.
Coordinate and conduct new employee orientations, ensuring a smooth transition into the organization.
Manage the offboarding process, including exit interviews, and ensure proper documentation and compliance.
Background Checks and Compliance:
Conduct pre-employment background checks, including criminal history, employment verification, and reference checks.
Ensure compliance with all applicable laws and regulations related to hiring, employment, and workplace safety.
Maintain accurate and up-to-date employee records in accordance with legal requirements.
Employee Relations:
Serve as a point of contact for employee inquiries related to HR policies, benefits, and other HR-related matters.
Address and resolve employee relations issues in a timely and professional manner, escalating to senior management as necessary.
Assist in the development and implementation of employee engagement initiatives to foster a positive workplace culture.

Administrative Support:

Office Management:
Organize and manage office activities to ensure smooth operations, including procuring supplies, managing correspondence, and working with vendors.
Ensure that facilities are clean, orderly, and safe, and that all equipment is in good working order.
Coordinate with building management and WOS staff to address any office-related issues.
Data and Reporting:
Manage employee attendance and timecards using Advanced Excel functions and HR software experience like UKG and ISEEMS.
Update key internal reports and data feeds, ensuring the accuracy and timeliness of information.
Perform data analysis related to program tasks, including budget tracking, financial forecasting, and program evaluation.
Administrative Tasks:
Organize and coordinate appointments, calendar events, travel, and meetings for WOS employees.
Manage communications in all formats (email, phone, written), filtering and prioritizing as necessary.
Provide general support in preparing for internal and external meetings, including drafting and editing correspondence.
Maintain an organized filing system (both electronic and paper), ensuring efficient access to critical documentation.
Expense and Vendor Management:
Negotiate the purchase of office supplies, furniture, and equipment in accordance with company purchasing policies and budgetary restrictions.
Manage and process expenses, ensuring adherence to company policies and timely reimbursement.
Qualifications:
Candidate Profile:
Authorized to work in the United States
Bilingual - English/Spanish - preferred
High School Diploma (Bachelors Degree preferred)
Available to commit to a full-time schedule
Additional Requirements:
Education:

Bachelor’s Degree in Human Resources, Business Administration, or a related field preferred.

Experience:
Prior experience in a human resources generalist role, with knowledge of HR policies, procedures, and employment law.
Experience with background checks, employee relations, and onboarding processes.
Strong administrative skills, with experience in office management and data analysis.
Skills:

Advanced proficiency in Microsoft Excel (Pivot Tables, Advanced Formulas, Conditional Formatting).
Proficiency in HR software (e.g., UKG) and mail systems (Gmail, Outlook, Apple Mail).
Strong work ethic with the ability to manage multiple tasks and priorities.
