ABOUT THE ROLE:

The Lead Mail Clerk is responsible for overseeing all mail operations, mail team, and collaboration with other departments to facilitate efficient mail operations.

WHAT YOU'LL DO:

  • Supervision: Provide daily supervision and guidance to the mail clerk team, ensuring adherence to company policies and standards. Train, mentor, and support new and existing team members, fostering a productive and positive work environment. Schedule and allocate tasks within the team to manage mail processing volumes effectively.
  • Mail Processing: Oversee the accurate processing, sorting, and distribution of incoming and outgoing mail. Ensure that all mail processing meets established timeframes, including critical and high-priority mail. Coordinate with other departments to streamline mail handling and distribution processes.
  • Quality Control: Conduct regular quality control checks to verify the accuracy and condition of outgoing mail, minimizing errors and ensuring consistency. Develop and enforce quality control procedures to maintain high standards in mail processing. Address any discrepancies or issues promptly, working with team members to implement corrective actions.
  • Coordination: Act as the primary liaison with other departments to coordinate timely collection and distribution of documents and mail. Ensure that department-specific requirements for documents and mail handling are met and that interdepartmental mail is delivered accurately. Communicate with department contacts to resolve any issues related to mail or document handling and ensure smooth cross-departmental workflows.
  • Record Keeping: Maintain comprehensive records of all mail processed, including tracking of high-value or sensitive documents. Ensure accurate documentation of daily mail processing volumes, delivery schedules, and any exceptional cases. Generate reports as needed for management, detailing mail processing metrics and any operational improvements.
  • Training: Provide training and support to mail clerks to enhance their skills and ensure consistency in processing.
  • Time & Attendance: Consistent time and attendance is crucial not only for operational efficiency and team collaboration, but also to meet the high flow of mail processing.
  • Daily Mail Sorting: Sorting incoming mail based on priority and relevance.
  • Documentation Distribution: Distributing documents to the appropriate departments or individuals within the company.
  • Data Entry: Entering relevant information from documents into databases accurately and efficiently.
  • Team Collaboration: Collaborate with colleagues, support staff, direct reports, and others at TaxRise to ensure a seamless client experience and successful debt resolution outcomes.
  • Professionalism: We expect all employees to maintain professional and respectful interactions, conduct, and behavior in the workplace and during company functions, in accordance with TaxRise standards.
WHAT YOU'LL NEED TO HAVE:
  • Previous experience in mailrooms operations or administrative roles.
  • Strong organizational abilities to manage and prioritize a high volume or incoming documents efficiently.
  • Meticulous attention to detail in reviewing and processing documents.
  • Understanding the importance of handling sensitive information with confidentiality and discretion.
  • Leadership skills to supervise and motivate a team of mail clerks, ensuring a cohesive and productive work environment.
  • Familiarity with basic office software, document management systems, and mail processing equipment.
  • Effective communication skills for coordinating with the team, other departments, and external contacts.
  • High school diploma or general education degree (GED); or six to twelve months related experience and/or training; or equivalent combination of education and experience.

PAY RANGE: $25.00 - $27.00 per hour

The above-range represents TaxRise's current good-faith pay scale for this role. TaxRise reserves the right to modify or update this range at any time.
