Position SummaryReporting to the Associate Director, Programs and Training, the Event Planner 1 will plan, produce, and execute events for the Wu Tsai Neurosciences Institute and the Knight Initiative for Brain Resilience. The role owns events from initial concept to day‑of execution, managing budgets, vendor selection, registration coordination, attendee tracking, travel arrangements, and post‑event evaluations. The planner collaborates with team members, cross‑functional institute partners, campus partners, and stakeholders to ensure successful outcomes for symposia, retreats, seminar series, poster sessions, community events, all‑staff meetings, and other gatherings.ResponsibilitiesDesign, plan, implement, and coordinate customized events.Evaluate and select vendors and providers of services considering stakeholder requests and requirements.Serve as a member of an events team, contributing to budget allocation, event logistics, and facilities decisions.Consult with stakeholders to determine objectives and requirements.Inspect event facilities to ensure they conform to event needs.Manage accounting operations related to registration, including daily accounting procedures, reports, final monetary summaries, and account transfers.Serve as project leader on smaller events, coordinating teams that plan, implement, and manage all event aspects, or manage program elements of larger events.Maintain complex databases and use specialized event planning software.Minimum RequirementsAssociate degree and three years of relevant experience or a combination of education and relevant experience.Knowledge, Skills and AbilitiesDemonstrated success in planning events.Exceptional customer service skills; ability to cultivate relationships across the organization and with matrixed partners.Proficiency with Microsoft Office, Google Docs and Forms, Canva, Zoom, and MS Teams conference management.Strong interpersonal and collaboration skills with broad groups and customers.Ability to remain calm under stress and ambiguity, particularly on event days.Independently and as part of a team.Prioritization, shifting priorities, and managing multiple time‑sensitive projects with deadlines.Creativity, problem‑solving, initiative, judgment, and decision‑making.Diplomacy and tactfulness in formal and informal channels to accomplish goals.Certifications and LicensesNone.Physical RequirementsFrequently sit/stand/​walk, perform desk‑based computer tasks, and use a telephone.Ability to reach, work above shoulders, grasp lightly or forcefully, use a telephone, sort/file paperwork, lift/carry/push/pull objects weighing 20‑40 lbs.University will provide reasonable accommodations to applicants and employees with disabilities.Working ConditionsAble to be present on campus at least 3 days per week and on event days or in lead‑up periods as needed.May require some travel and working during evenings and weekends, depending on events’ needs.Standard office environment: private offices, open‑collaborative spaces, meeting rooms, and large conference rooms.Pay Range$72,972 to $87,751 per annum.EEO and Disability AccommodationsStanford is an equal employment opportunity and affirmative action employer.
