Description Summary The People & Culture Staffing Specialist serves as the primary customer service contact regarding recruitment, on‑boarding, and maintenance of adjunct and student employees. The Specialist serves as a key contributor to the daily Human Resources operations. Leverages AI to increase efficiencies in performance of required responsibilities. This position requires a strong team‑approach to daily work activities, ability to juggle and prioritize several projects at once and adapt to the constant development of new approaches. For highest consideration, please apply by January 30th at 11:59pm. Essential Functions ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Provide comprehensive administrative support to day-to-day operations of HR, ensuring accuracy of processes, policies, and compliance with contract agreements. Coordinate all adjuncts, JC and Edustaff, employment files. Onboarding adjuncts, process all adjunct absence reports, stipends, additional hours, and non‑classroom terms of assignment. Bi‑weekly monitoring of adjunct load ensuring adjunct employees do not exceed allowable load levels. Work directly with Academic Deans, Hiring Managers, and Chief Academic Officer to ensure adjunct pools provide adequate resources to staff classes. Coordinate adjunct hiring fairs (virtual and in‑person) throughout the year and prior to Fall and Spring terms. Meet with Deans and Hiring Managers to debrief on best practices after hiring fairs. Work with Academic Deans and Adjunct Hiring Manager to manage and maintain adjunct pools in the NEOED system. Additionally, train academic personnel on effective use of NEOED tool. In coordination with HR Director, maintain the system utilized to assure compliance with the Higher Learning Commission faculty qualification guidelines. Maintain faculty qualification information in the Colleague system including updating of licensing and credential expiration dates. JC liaison with Edustaff, third‑party payroll partner working with adjuncts, coaches, and on‑call banquet employees. Manage Student Employment process for all campuses. Coordinate recruiting, supervisor communications, professional development, NEOGOV referrals, hiring, budget tracking, performance evaluations, raises and student employment termination. In collaboration with the Dean’s Office, coordinate student employee of the year process. Coordinate coaching positions, employment files, issue annual pay schedules for payroll for each coach, set up payment plan and track coaches and their sport’s seasons. Exercise individual judgment while dealing with potential or real troubles on own initiative and appropriately determining when to bring them to administrator’s attention. Coordinate Temporary Letter of Appointment requests, manage employment materials/files, set up web time reporting, and track each TLA start to finish. Assists with New Employee Orientation week on a monthly basis, providing presentations and back‑up during absences and tours. Use Microsoft Office programs and know or learn how to efficiently use HR software packages. On a daily basis, this position will use Datatel and WEBI. In coordination with the HR Director, maintain the Human Resources Web Pages. Maintain the seniority list for both full and part‑time Classified/Tech employees per the contract requirements. Cross trains with other HR team members to provide back‑up support during peak times and absences. Responsible for understanding, supporting and actively demonstrating the College’s beliefs, values, mission, and vision and being in agreement to be evaluated by same. Perform other duties as assigned by the Human Resources Director. SUPERVISORY RESPONSIBILITIES May supervise student employees. CONTACTS AND PURPOSE OF CONTACTS Internal: Frequent contact with staff, applicants, and community members within and outside of the Human Resources Office for the purpose of sharing information and/or resolving problems. Education and Experience Bachelor’s degree (BA) from four‑year college or university in a related field; or Associate degree in a related field with two to four years human resources related experience and/or training; or equivalent combination of education and experience. Knowledge, Skills and Abilities Minimum Experience with Human Resources practices. Knowledge of AI and demonstrated willingness to grow professionally as AI tools develop. Working knowledge of Federal and State benefit related laws (i.e. HIPAA, FMLA, FSA, HSA, COBRA and Worker’s Compensation). Experience with maintaining employee records. Ability to maintain strict confidentiality and accuracy when handling sensitive information, records, and reports. Contract compliance, records management tracking, and reporting experience. Excellent interpersonal skills and strong organizational skills. Ability to manage several projects at once. Proficient in Microsoft Office, Outlook, Excel, PowerPoint, and Database management. Demonstrated success in a customer service environment. Preferred Work as a team in an open office setting. Ability to adapt to changes in work environment, manage competing demands and deal with frequent changes, interruptions, or unexpected events. Excellent interpersonal, writing, and communication skills. Strong organizational skills. Language Skills Ability to read, analyze, and interpret general business periodicals, professional journals, and technical procedures, manufacturing design documents or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Mathematical Skills Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Reasoning Ability Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
