JOB DESCRIPTION

OFFICE CLERK

Responsible for fulfilling the clerical needed and assists in the performance of general office duties.
QUALIFICATIONS

  • Adequate knowledge of office machines and office procedure, preferably in the medical field, well organized with good typing and telephone skills.
  • A high school education with an office related background.
  • Must be capable of performing job duties.
KEY RESPONSIBILITIES
  1. Places phone on and takes phone off answering service.
  1. Types correspondence as directed by Supervisor.
  1. Photocopies as directed by Supervisor.
  1. Reviews all timesheets for names, codes, etc., before review by the Supervisor.
  1. Answer phone promptly and politely and relay all messages quickly and accurately.
  1. Screens phone calls for office staff.
  1. Notifies visiting personnel of any changes in patients as directed.
  1. Answers the switchboard in an efficient and courteous manner.
  1. Utilizes and maintains sign-out sheets in an efficient manner.
  1. Receives, records and relays messages to the proper person in a timely manner.
  1. Processes mail in the morning and afternoon.
  1. Provides typing and other clerical assistance upon request to various departments.
  1. Distributes correspondence from management to the various departments and offices.
  1. Assists management in special projects.
  1. Greets individuals who enter front office and directs them to the proper office or dismisses them in the proper manner.
  1. Represents the company courteously and professionally.
  1. Keeps immediate Supervisor informed of all problems an/or questions in a timely manner.
  1. Attends inservices, seminars, or other meetings as assigned by the immediate Supervisor or other management.
  1. Maintains confidentiality of information related to business practices, business activities, and personnel.
  1. Maintains a professional attitude when working with staff, fostering the team philosophy and team environment for all personnel.
  1. Does not allow personal affairs to interfere with scheduled work time.
  1. Maintains a professional appearance at all times.
  1. Provides proper notification and/or advanced notice of absence or tardiness without abuse.
  1. Participates willingly with special projects and/or overtime work when requested.
  1. Follows all agency policy and procedures.
