Medical Affairs Grants Specialist

This position will be responsible for the administration of educational grants from submission to fulfillment including contracts, payments, and systems used for the administration of North America grant programs. This role also supports other programs including investigator-initiated studies, publication grants, and material transfers. It works in collaboration with Medical Directors, Medical Science Managers, legal, compliance, government reporting, donations, Accounts Payable and pharmacovigilance groups to ensure compliant and timely execution of contracts and programs.
Responsibilities:
- Leads the project management of Educational Grants from submission to Committee review through final grant reconciliation.
- Receives and processes Educational Grant requests via CyberGrants.
- Triages and works with respective Medical Science Managers of TAs to ensure requests align with SOP requirements
- Initial point of contact for all communication with grant requestor.
- Coordinates with Compliance to ensure all submissions are compliant with the most current external regulations and internal SOPs
- Coordinates and prepares agenda and materials for the IME Committee meetings including information on prior submissions from the Grantee and previous financial support by CSLB.
- Collaborate with Legal for preparation of all agreements and optimal contract execution.
- Ensures timely addressing of Educational Grants questions ensuring Grantee relationship is maintained
- Technical skills to manage upgrades and existing system for Educational Grants.
- Identification and tracking of missing components, documents, and information and research with the appropriate party to secure all information is accessible on each Grant.
- Assists with payment processing for Medical Affairs related activities such as educational grants, publication grants, investigator-initiated studies, and other related activities. Work with Grants Manager closely to ensure all payments to HCPs for their services are reported accurately to Government Reporting.
- Collaborate with Legal to execute appropriate agreements for grant programs supported by Medical Affairs. Ensure these executed contracts and other appropriate documents associated with the agreement are uploaded to the legal database to ensure compliance. Manages change requests and routes as appropriate, obtaining new Legal agreements when necessary or obtaining consultation of Compliance to ensure CSLB fiscal responsibility.
- Work closely with Grants Manager forecasting and budget planning for educational grant related activities. Monitor budget spent for individual grants per therapeutic area and communicate with Grants Manager to ensure budget spent is within HLR2 budget limits.
- Work with multiple stakeholders across I&T, Global Medical Affairs, and NAMA to support technical systems used for Grants including CyberGrants and other digital platforms supporting the programs.
- Working collaboratively with Grants Manager for operational execution of Publication Grants, Material Transfer Agreements and Investigator Initiated Studies including contract execution, milestone monitoring (as applicable), convening committee meetings and capturing action items (as applicable) and payment processing.
- In collaboration with Medical Directors and Medical Science Managers, ensures all the programs meet the medical affairs strategy and assist the MSMs to share insights to the broader medical affairs teams.
- Identify and advance the Medical Affairs Operations programs to ensure implementation of best practices including adherence to ACCME, PhRMA, and IMC code.
Qualifications:
- A Bachelor's Degree is Required
- 3-5 years of pharmaceutical or relevant program administration experience is required.
- Previous experience administrating agreements and financial transactions is preferred.
- Knowledge of ACCME and PhRMA code preferred.
- Knowledge of Food and Drug Administration/Good Clinical
- Practice/International Conference on Harmonization guidelines a strong
- Excellent written and verbal communication Good organizational and planning skills.
- Ability to work with ambiguity and drive toward effective solutions. Communication skills.
- Collaboration skills. Methodical and team oriented. Decision making skills.
- Proficiency in Microsoft Office, Outlook and Excel is required.
- Proficiency in Adobe, CyberGrants, Sitecore, and web development is preferred.
