Job Description

MAIN FUNCTION:

Performs secretarial/clerical duties as directed in the Rehabilitation Services Department under the direction of the Director of Rehabilitation Services, Clinical Coordinator and/or Rehab Supervisor. May receive direction from the staff physical, occupational and/or speech therapists on a day to day basis. May assist with assigning schedule for Rehab Aides/Technicians.

DUTIES AND RESPONSIBILITIES:

** 1. Performs secretarial/clerical duties as directed in the Rehabilitation Services Department, which include, but are not limited to the following:

+ Answers telephone, takes and relays messages, and schedules patients with therapist's direction.

+ Greets and directs visitors, patients, and family members of patients.

+ Obtains physician signatures on initial plans of care and re-certifications as needed.

+ Sets up patient charts for each new patient seen in Rehab Services.

+ Sends end-of-the-month reports to the Business Office in a timely manner (i.e. Medicare, comp, etc).

+ Assists with reviewing therapist charges for accuracy and adding/revising charges in Soarian as needed.

+ Prepares charts for the Business Office and Health Information Management departments as needed.

+ Demonstrates the ability to mail, fax and file paperwork appropriately.

+ Maintains accurate electronic schedule for all appointments. Adjusts the schedule to maximize therapist efficiency within the department. Tracks cancellations and no shows on the schedule appropriately. Assists therapists as needed with scheduling follow-up appointments.

+ Assists therapists as needed with calling patients who do not show for their appointments to reschedule.

+ Monitors the arrival of patients for their appointments and informs therapists via intercom system and keeps therapists informed of calls.

+ Sorts/distributes in-coming mail.

+ Types minutes for department meetings as assigned.

+ Compiles daily, monthly and yearly statistics for Rehab Services.

+ Coordinates data collection of standardized test scores and other HMI-related

information and enters into OrthoVal.

+ Distributes and verifies Rehab employee time sheets on a bi-weekly basis.

** 2. Orders office and clinical supplies as requested.

** 3. Assists in general cleanliness and orderly arrangement of the department.

** 4. Performs Rehab Aide/Technician duties as assigned in absence of Aide/Technician with appropriate cross-training.

+ Maintains established department policy and procedures, objectives, safety, quality assurance, and environmental and infection control paperwork.

+ Must possess the highest ethical standards with respect to discretion and regard for

confidential information.

+ Has working knowledge of Corporate Compliance regulations and promptly reports any

potential Corporate Compliance violations to the Corporate Compliance Officer.

+ Is familiar with and demonstrates Continuous Quality Improvement principles and

participates in the process as appropriate, focusing on meeting the customer service needs

of the internal and external customer.

+ Provides age-appropriate interaction with infants, children, adolescents, adult and

geriatric patients.

+ In order to provide the highest quality care to our patients and residents, individuals may

be required to work hours beyond those normally scheduled or different than normally

scheduled. Work schedules may be subject to change based upon the needs of the

department.

+ Ensures safety and comfort of the patient while they are in the Rehab Services

Department.

` 12. Is responsible for attending all mandatory meetings and educational programs as required

by the department.

+ Employee understands and demonstrates the importance of satisfying the needs of the customer/patient by interacting with him/her in a friendly and caring way, being attentive to the customer's needs, both psychologically and physically, and by taking the initiative to maintain communication with the customer in order to provide a secure and pleasant experience with the Arnot Health.

EDUCATION:

High school diploma, or equivalent required. One year secretarial/business program, typing and filing skills and familiarity with medical terminology preferred. Computer experience required.

EXPERIENCE:

Previous healthcare experience is preferred.

PHYSICAL DEMANDS:

Occasional physical effort or strain when assisting other staff or acting in absence of other staff members.

CARDIOPULMONARY RESUSCITATION (CPR) REQUIREMENTS:

No CPR required.

EXPOSURE CATEGORY:

Category III. Tasks that involve no exposure to blood, body fluids, or tissues. And Category I tasks are not a condition of employment.
