Job Description

Job Summary:

Responsible for the efficient operation of the department office to include scheduling, communications, statistical data, generating reports and documents, maintaining files, receiving visitors and guests, and conducting special projects as assigned.

Essential Job Duties:
  1. Receives hospital guests, ascertains their needs and directs them accordingly.
  2. Gathers necessary information and prepares administrative reports.
  3. Establishes, revises and maintains the department filing system. Sorts and files correspondence, records and other documents.
  4. Arranges meetings and conferences. Schedules interviews and appointments for supervisory personnel. Maintains the department director's calendar.
  5. Manages departmental communication and correspondence. including the opens, sorts, reviews and distributes department mail. Prepares responses to routine inquiries.
  6. Completes and maintains department manuals, and financial and human resources documents as requested.
  7. Monitors office supplies and places equipment and supply orders in the computerized order system, tracks, and follows up on those orders.
  8. Completes other duties and special projects as assigned.

Secondary Job Duties That May be Reassigned:
  1. Answers routine questions regarding office operations, policy and procedure.
  2. Accepts requests for respiratory care services from patient care areas of the hospital, physician offices; and communicates all information to the appropriate person.
  3. Records and types meeting minutes as assigned.


Qualifications

Job Specifications:
  • Education: High School Graduate. Office training management training helpful
  • Experience: 1 year previous secretarial experience preferred
