Job Description
The Dept. of English is seeking a qualified and highly motivated individual to provide senior level administrative management for the chair and the department. Responsibilities are to assure that the operational, personnel and business support needs are coordinated and handled efficiently and timely in accordance with university procedures. The Manager is responsible for a variety of activities in support of the operation that may include calendar management, assisting with official confidential correspondences, supervising department staff, purchasing, events planning and personnel coordination. Provides high quality administrative support to the Department Chair serving as liaison between the Chair and the office and constituents in addressing inquiries and arranging engagements.
Duties and Responsibilities
- Plans and coordinates administrative and support services, applying up-to-date institutional knowledge of programs, personnel, operations, and administrative policies and procedures.
- Coordinates confidential projects and handles sensitive information and materials
- Plans and coordinates meetings and activities for the Chair and the Department
- Serves as a key resource to all members of the department
- Supervises staff
- Composes correspondence and reports, including personnel contracts and letters and other items as required
- Is cross-trained and carries out duties in the areas of human resources, fiscal management and payroll
Required Qualifications
- Experience providing administrative support in a professional office environment
- Experience developing, interpreting and implementing a variety of complex policies and procedures specifically in the areas of finance, HR and office administration
- Proficient use of office software such as Microsoft Office or other related software
- Experience working with spreadsheets
- Demonstrated ability to perform multiple duties related to diverse agency-wide programs, projects and issue that cross major operational and administrative lines
- Demonstrated experience in providing direction to others in resolving problems and locating information
- Experience in managing and leading others
- Experience using large database systems related to HR and/or Finance
Preferred Qualifications
- Experience in an academic higher education department
- Experience with the Virginia Tech specific systems (Banner, PageUp, HokieMart, ChromeRiver)
- Experience organizing events
- Experience responding to internal and external auditors
- Working knowledge of policies and procedures related to international personnel
- Background in Human Resources Management
