Job Description:

POSITION: Court Reporter/IV-D Court

DEPARTMENT: Judicial Services

WORK SCHEDULE: 8:00 a.m. - 4:30 p.m., M & W

STATUS: Part-time

FLSA STATUS: Non-exempt

Incumbent serves as Court Reporter/IV-D Court for Judicial Services, responsible for preparing records of court proceedings utilizing FTR, and preparing and processing court documents.

DUTIES:

Attends and makes audio tape recordings and notes of various court proceedings, including operating recording equipment utilizing FTR and typing log notes. Periodically types verbatim transcripts from audio recordings for appeals or as requested, certifying under oath to truth and accuracy. As requested by parties, periodically copies audio recordings from computer to CD and prepares statement to collect fee for Clerk.

Takes custody of case evidence according to statutory requirements, including inventorying items, packaging, labeling, and filing in evidence room. Disposes of obsolete evidence and exhibits annually according to statute, retention schedule, and local court rules.

Operates video conferencing equipment as needed.

Provides clerical support to IV-D Commissioner, including typing on computer various orders, decrees, notes, memorandums, and correspondence as assigned.

Due to shared courtroom, setup is required daily to comply with IV-D check in procedures which includes maintaining supplies of forms.

Serves as bailiff as needed, including straightening courtroom following IV-D docket, assisting court participants with proper procedures, ensuring participants are available and ready for hearings, and reporting unusual situations to appropriate personnel. Communicates with control room as required for court related security issues.

Communicate with courts and Hamilton County Jail personnel.

Communicate with IV-D Prosecutor's office, courts and incarceration facilities regarding telephonic court hearings and maintain schedule of telephonic hearings.

Commence and conclude hearings on IV-D docket as required in Odyssey. Calendar IV-D hearings. Create and/or modify IV-D hearing calendar. Type hearing journal entries in Odyssey as required. At conclusion of IV-D docket, deliver all files and paperwork to various Orderbook offices.

Performs various clerical duties as assigned or as needed, including retrieving/organizing files for cases scheduled for court, and ensuring all scheduled cases have appropriate entries and forms.

Assists office visitors, providing information, assisting with forms, and directing to appropriate courtroom, individual or department.

Maintains inventory of office supplies, ordering items as needed.

Performs related duties as assigned.

I. JOB REQUIREMENTS AND DIFFICULTY OF WORK:

High school diploma or GED. Legal secretary and/or paralegal experience preferred; court reporter certification preferred.

Working knowledge of standard office and court policies and procedures and related terminology, and ability to apply such knowledge to a variety of interrelated tasks.

Ability to type with speed and accuracy, and properly operate a variety of standard office equipment, including transcriber/Dictaphone, computer, printer, telephone, fax machine, copier, court recording equipment, video conferencing cameras and monitor.

Working knowledge of standard English grammar, spelling and punctuation, and ability to effectively communicate orally and in writing with co-workers, other County departments, attorneys, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.

Ability to understand and follow oral and written instructions, and appropriately respond to constructive criticism.

Ability to work alone and with others in a team environment with minimum supervision, and maintain appropriate, respectful interrelationships with co-workers.

Ability to work on several tasks at the same time, often under time pressure, and complete assignments effectively amidst frequent distractions and interruptions.

Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons.

Ability to provide public access to or maintain confidentiality of department information/records according to state requirements.

Ability to comply with all employer/department personnel policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

Ability to regularly work extended and/or evening hours.

II. RESPONSIBILITY:

Incumbent performs standard, recurring duties according to well-established policies and procedures. Incumbent receives indirect or occasional supervision, with priorities determined by supervisor and service needs of the public. Errors in incumbent's work are usually prevented through procedural safeguards and are detected through notification from other departments/agencies or the public. Undetected errors may result in loss of time for correction, work delays and/or inconvenience to other departments/agencies or the public.

III. PERSONAL WORK RELATIONSHIPS:

Incumbent maintains frequent contact with co-workers, other County departments, attorneys, and the public for purposes of exchanging information, and explaining policies and procedures.

Incumbent reports directly to IV-D Commissioner.

IV. PHYSICAL EFFORT AND WORK ENVIRONMENT:

Incumbent performs duties in a standard office environment and courtroom involving sitting for long periods, close and far vision, hearing communication, handling/grasping/fingering objects, keyboarding, and speaking clearly. Incumbent occasionally works extended and/or evening hours.
