CLASS SUMMARY

The essential function of this position is to assist with supervision of Court Program Specialist II's in the Civil Court Division. The position is responsible for supervising staff, training, assisting with managing caseloads, evaluating work, pulling case lists, ensuring timely disposition of cases through case management, case monitoring, and program implementation developing work methods and sequences. The position is also responsible for: providing information to litigants and trial court staff, reviewing filings, managing and preparing cases for court hearings, briefing judges, maintaining record/filing system, training and assisting new departmental personnel, scheduling hearings, and performing related administrative support functions. The position is accountable for collecting and reporting on case/program data and maintaining databases for the Civil division as needed and may attend hearings and other trial court proceedings. The position works under general supervision of the Director of Case Management.

ESSENTIAL DUTIES

ESSENTIAL DUTIES% OF TIMEMonitors and responds to all email correspondence by attorneys and pro se litigants and determines case status, prepares court orders on pending motions and petitions within the Probate/Guardianship division.20Reviews court files and prepares checklists for each Probate case type, verifying all information in the court file is proper.15Review and prepare applicable Guardianship orders, appointing examining committee and following up on reports and other deadlines. 15Maintains daily, monthly, and yearly case lists and statistics regarding volume and types of cases handled by program; or creates and maintains record systems for efficient case management.10Assists with supervision of staff with caseload compliance, including organizing, selecting, recommending selection, and assigning/evaluating work.10Updates and maintains case management systems databases.5Assists litigants through telephone, via correspondence, provides case status information, rules of civil procedures and statutes, referrals to appropriate community agencies, and reviews pro se filings for judges.5Organizes and maintains filing systems the civil divisions. 5Trains and provides continuing information and assistance to co-workers as needed, 

reviews work as needed and provides information to other agencies as requested.5Performs administrative tasks, including, but not limited to composing/preparing 

correspondence, memoranda, and developing/updating policy and procedures manual.5Attends technical or professional seminars or conferences to improve professional skills 

and/or conducts staff and other professional meetings to exchange information.5

MINIMUM EDUCATION AND EXPERIENCE GUIDELINES

Education

Bachelor's degree in legal studies, paralegal, business administration, criminal justice, psychology, sociology, or a closely related field.

 

Experience

Four years of related work experience. 

CERTIFICATION, LICENSE, AND SPECIAL REQUIREMENTS

Valid Florida Driver's License
