Job Summary

The Administrative Coordinator is charged with creating and executing schedules, on behalf of the DEIB Directors, communicating with staff or key stakeholders who need assistance, keeping organized records related to travel expenses, training classes, DEIB events and department content coordination for ONE intranet platform. The administrative coordinator is the backup to the department Executive Assistant, when they are out of the office, and is expected to support the SVP and/or VP on projects as assigned.

Essential Functions
  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • Managing and routing phone calls appropriately.
  • Processing and reporting on office expenses.
  • Maintaining physical and digital department records.
  • Scheduling in-house and external meetings as needed.
  • Distributing incoming mail.
  • Managing and ordering office supplies.
  • Making travel arrangements.
  • Organizing company documents into updated filing systems.
  • Addressing employees' and clients' queries (via email, phone, or in-person).
  • Preparing miscellaneous Agendas, presentations, spreadsheets, and reports.
  • Updating office processes and procedures as needed.

  • Ability to apply creative lens to department collateral piece branding and positioning.

Qualifications

Minimum Education and Experience Requirements:

Education:
  • High School Diploma or GED; Bachelor's Degree Preferred

AND

Experience:
  • Previous administrative experience preferred
