POSITION DESCRIPTION

POSITION TITLE: Secretary IV

DIVISION: Administrative Services DEPARTMENT: Secondary Education

DAYS SCHEDULED: 215 Days Annualized

SALARY SCHEDULE: CLAS Range G starting $19.39/hour
Hourly rate could be higher based on Education, Experience and ability to speak Multiple Languages

REPORTS TO: Middle School Principal

I. GENERAL DESCRIPTION

Prepares and maintains files, reports and records of administrative and confidential nature. Assists in collecting and assembling data for special reports requiring minor
research and initiative. Performs many clerical tasks requiring broad knowledge of office practices and procedures. Has many and varied public contacts.

II. II. EXAMPLES OF DUTIES AND RESPONSIBILITIES

A. Operates intercom and phone systems.
B. Available to type all school correspondence including newsletters, disciplinary letters, administrative memorandums, etc.
C. Maintains file of substitute teachers and assists in locating rooms, keys, schedules, etc.
D. Maintains personnel files.
E. Prepares time sheets for extra duty assignments.
F. Makes list of parent calls reporting student absences and compiles work copy of absentee list.
G. Assists in preparation of required reports (daily, weekly, monthly and yearly).
H. Assists principal with maintenance of timekeeping records of classified employees.
I. Works closely with other secretarial/clerical employees and helps relieve work load when temporarily excessive.

III. TRAINING, SKILLS, AND EXPERIENCE REQUIREMENTS
A. Training and experience should be equivalent of that normally received by graduation from high school with one-to-two years of diversified clerical and/or secretarial experience.
B. Good knowledge of modern office practices, procedures and of business English, spelling, and related subjects.
C. Skill in keyboarding, maintaining office files and records, using current office software, and compiling reports from standardized information.
D. Maintain effective working relationships with district personnel at all levels, ability to meet the public and other visitors to the district and/or schools, ability to exercise sound
judgment in making administrative decisions.
E. Must be able to operate office equipment and perform alphabetizing and filing tasks.
F. Must have the ability to open and distribute U.S. Mail, including packages, parcels and supplies.
G. Knowledge and proficiency in Business Plus, Kronos, Raptor, and Skyward is a plus.
