Summary:

Under minimal supervision; provides administrative and secretarial assistance for the Research Director and the Research Programs Coordinator of the CALNS Research in the College of Agricultural, Life and Natural Sciences. Assist the 1890 Research Director and CALNS Research in the planning, implementation, and management of activities and programs pertaining to the mission and goals of the school.Essential Duties and Responsibilities:

* Reports to the Research Programs Coordinator.
* Assists the Research Programs Coordinator in planning, implementation, and management of program activities as outlined in the Research Director's Plan of Work.
* Drafts and/or edits letters, memoranda, and reports for the Office of Research.
* Maintains a library of reference documentation, including such information as funding agency requirements and forms, investigator profiles and curriculum vitae, and other pertinent material.
* Compiles source materials and other data needed to prepare various records, reports and publications.
* Establishes and maintains accurate and current files of letters, reports, records, and other documentary materials, and ensures that information in these files is confidential.
* Organizes, develops, and implements procedures for executing various administrative assignments in the Office of Research.
* Responsible for the maintenance and processing of time sheets, payroll and leave records, resumes, personnel records and other kinds of employment records for the Research Office.
* Responsible for the review of budgetary documents submitted to the Office of Research.
* Compiles factual information from files, records, publications, and other sources, and tabulates this information in accordance with standardized report forms.
* Attends meetings and provide updates to the Research Programs Coordinator when necessary.
* Oversees the supervision of institutional (bi-weekly) employees which include work allocation, training, and problem resolution; evaluate and report performance when needed.
* Reviews incoming correspondences in order to alert the immediate supervisor promptly to matters of special concerns or interest.
* Assists in providing direction, consultation, assistance, and support to faculty and staff in developing, controlling budgets and costs, fulfilling budgetary requirements, and understanding financial reports/data and administrative policies and procedures.
* Assists in developing standard data for various CALNS and university presentations and publications.
* Transmits routine correspondences to an appropriate office for action.
* Types, proofreads, and processes finished correspondences, reports, or materials as assigned.
* Performs other duties that may be assigned in support of the organization.

Minimum Position Requirements (including certifications, licenses, etc.):

* A bachelor's degree in business, office administration, or other appropriate area of training. 
* Minimum of five-year practical work experience in a University or corporate environment.

Knowledge, Skills, and Abilities:

* Ability to exercise judgment and discretion in interpreting and applying operational policies and procedures. 
* Ability to effectively communicate with others orally and in writing; to plan, layout, assign, direct, and review the work of others. 
* Thorough knowledge of the mission, scope, and function of the university and the CALNS research office. 
* Considerable knowledge of the basic principles, accounting, personnel administration, purchasing and budget preparation. 
* Proficient in care and operation of standard office machines, computer systems for word processing and spreadsheet development. 
* Ability to understand and carry out complex, oral and written instructions.
* Establish and maintain effective contacts with other University employees and the general public. 
* Flexible to work after hours to meet deadlines during peak time of activity (with compensation time granted, if needed).
