JOB DESCRIPTION:

ADMINISTRATIVE ASSISTANT TO

ASSISTANT SUPERINTENDENT FOR SUPPORT SERVICES 1010.02AR

MINIMUM QUALIFICATIONS:

* High School Graduate
* Friendly personality
* Computer experience, including word processing and use of spreadsheet programs

REPORTS TO: Assistant Superintendent for Support Services for Administrative Support Services

JOB GOAL: Provide administrative services to the Assistant Superintendent for Support Services for Administrative Support Services; to maintain records and files for Assistant of Support Services.

PERFORMANCE RESPONSIBILITIES:

* Perform those clerical tasks which are required to support the work of the Assistant Superintendent for Support Services.
* Organize and maintain all files for the Assistant Superintendent for Support Services.
* Update the budget and reports for personnel services.
* Maintain Worker's Compensation File:
* Process all worker's compensation forms within the required timeframes.
* Monitor and inform insurance carrier of job-related absences.
* Maintain a file of, and check quarterly reports.
* Annually chart the locations and nature of job-related injuries.


* Maintain unemployment records
* Keep file of separated/terminated employees who file an unemployment claim.
* File a protest of the granting of separated employees benefits as directed by the Assistant Superintendent for Support Services.
* Notify Assistant Superintendent for Support Services of scheduled dates for referee's hearing.


* Handle telephone calls and schedule appointments for the Assistant Superintendent for Support Services
* Receive and review mail for the Assistant Superintendent for Support Services and route to appropriate Central Office personnel.
* Prepare requisitions for payment through MUNIS system for Assistant Superintendent for Support Services and the Personnel Department.
* Oversee the purchasing of office supplies for Assistant Superintendent for Support Services and the Personnel Department.
* Maintain fingerprint account, correspondence and coordinate with Kentucky State Police for the Personnel Department.
* Gather and distribute information/data to and from central office and schools including but not limited to:
* Additional Insured insurance certificates
* Facility Rentals
* MVR paperwork
* SBDM (annual verification spreadsheet to KDE)
* Sick Banks (certified and classified)
* Surplus spreadsheets
* In lieu of District Safety Director-Maintain accurate records as required by OSHA Recordkeeping and send annual reports. Coordinate required OSHA reports postings with central office and school.
* Coordinate updating and posting of annual notice of non-discrimination as directed by Director of Academic Support.
* Other duties as assigned by the Assistant Superintendent for Support Services.

TERMS OF EMPLOYMENT:

Compensation will be determined based on 260 contract days on the board approved 109 salary schedule. This position requires an 8-hour workday.
