Pay

This position is a Non-Exempt position at pay grade 111.

Attendance

Non-rotating 40-hour work week, Monday - Friday, 8:00 am - 5:00 pm; must be available to work additional hours as needed.

Overview

The Administrative Support III is responsible for providing support to Corpus Christi Water (CCW) staff by processing incoming invoices for payment, submitting travel advance requests and expense reports, updating various spreadsheets, and completing other duties as needed.

Responsibilities

* Receive invoices electronically or through postal carrier
* Review and request approval of validity of purchase or services rendered
* Submit invoices to Accounts Payable
* Confirm payment to vendor
* Track invoice status from receiving to payment completion
* Review incoming approved travel requests
* Verify account funds available for travel
* Use procurement card to make any hotel reservations, pay registration fees, or secure vehicles reservations necessary for travel
* Enter travel advance by proxy into Infor
* Upon travel return, verify receipts submitted by traveler and enter travel expenses by proxy into Infor
* Update financial payment tracking, purchase order, procurement card expenses, and reimbursement spreadsheets as needed
* Navigate through City bank account website of over 70 CCW card holders to verify that purchases made with procurement cards are valid and approved, have correct accounting codes, descriptions, and contain proper receipts
* Contact staff and/or vendors to resolve any purchasing disputes
* May be asked to perform other duties as assigned

Qualifications

* Requires an Associate's Degree (AA/AS) or 2-year technical certificate
* Minimum of two (2) years of experience
* A combination of education and pertinent experience may be considered
* A valid driver's license is required; successful out-of-state candidates must be able to obtain a valid Texas driver's license within 90 days of hire

Basis of Rating

Application review and the City may also conduct additional skill assessment tests, in addition to the panel interview.
