Onboarding Specialist – Specialty Cardiology

Cardiac Study Center/ Pulse Heart Institute, Tacoma, WA

Since its creation, Cardiac Study Center (CSC) has contracted with Pulse Heart Institute (Pulse) for outpatient cardiology and billing services. CSC is a proud partner of Pulse and has provided outpatient cardiology services in the Puget Sound Region for over 50 years. CSC partnered with MultiCare Health System to create Pulse Heart Institute in 2016 to work toward improving the health of cardiac patients.

Pulse's standard operating procedure is to employ cardiology ambulatory and billing support staff at Cardiac Study Center. This gives Pulse the dexterity to create roles that are unique to cardiac programs, which benefit our teams in their career development and resource needs in caring for our patients. This structure allows for a more personal feel for our employees, helping them feel valued.

Onboarding Specialist Environment and Shift details:

This role is full-time, 40 hours/ week, Monday – Friday—closed weekends and holidays. 8:00am-4:30pm (flexible start/end times)

This role is hybrid-remote after a 90-day in-office training period.

Onboarding Specialist Position Summary
The Onboarding Specialist is pivotal in facilitating a smooth and welcoming integration process for new hires at our company. In this role, you will be responsible for delivering comprehensive introductory training sessions, managing the initial paperwork and background checks, and ensuring that all elements of the onboarding process align with company policies and standards. With a focus on creating a positive first impression, you will serve as a primary point of contact for new employees, providing support and guidance through their initial phases at the company. The Onboarding Specialist's efforts are crucial in setting up new hires for success, aiding in their transition into the team, and fostering a strong sense of company culture and belonging from day one.



Onboarding Specialist Responsibilities

  • Email and Communication Management: Monitor the HR shared email inbox with the HR team to ensure prompt and efficient communication responses. Use templates to send standardized communications to candidates and clinic staff.
  • Record Keeping and Compliance: Organize and maintain employee files to ensure compliance with regulatory standards. Ensure compliance with I9 processing and manage personnel files both in paper form and electronically.
  • Onboarding Process Oversight: Guide new hires through the complete onboarding process, ensuring all tasks are completed, including background checks and verification of licensure and certifications. Coordinate the new hire orientation with hiring managers and educate new employees on navigating the onboarding and employee portal.
  • Job Posting Management: Post and manage job advertisements for all required positions within the PSR and INW regions, ensuring accuracy and timeliness of ads.
  • HRIS Management: Enter new hires into HRIS systems (Paycom/Zetta), and update necessary trackers for clinical markers like Epic access. Manage data entry related to new hire, rehire, and contingent worker processes.
  • Documentation and Verification: Handle sensitive documentation such as medical records (vaccinations and immunizations) required for employment. Verify and update these records in the HRIS system regularly.
  • Onboarding Logistics Coordination: Work closely with the management team at each location and the MHS Onboarding teams to ensure smooth entry of new hires into the system. This includes requesting and tracking EPIC access, passwords, and email accounts.
  • Program Development and Feedback: Regularly recommend changes and enhancements to the onboarding programs to drive better retention and engagement. Follow up with new employees to evaluate the onboarding experience and recommend ways to enhance it.
  • Financial and Contractual Tasks: Review candidate experiences to determine appropriate hourly rates or salaries using the wage grid. Manage sign-on bonus agreements and coordinate with Payroll for proper payout.


Onboarding Specialist Required Qualifications:

Experience and Skills:

  • Prior experience with employee onboarding preferred but not required.

Education:

  • Associate degree in Human Resources, Business, or a related field; or two years of Human Resources experience; or equivalent combination of education and experience

Pay and Benefit Expectations

Cardiac Study Center/ Pulse Heart Institute provides a comprehensive benefits package, including competitive salary, medical, dental, and retirement benefits, and paid time off. As various pay transparency laws require, CSC/ PHI shares a competitive compensation range for candidates hired into each position.

The starting pay for this position is $22.75, and the pay scale is $22.75 - $33.82 USD. However, pay is influenced by factors specific to applicants, including but not limited to: skill set, level of experience, and certification(s) and/or education.
