JOB SUMMARY

Provide administrative support for the service department.

MINIMUM QUALIFICATIONS

* 3+ years of administrative support experience.



PREFERRED QUALIFICATIONS

* Experience in the construction industry is preferred.

KEY SKILLS & COMPETENCIES

* Must have strong organizational skills, attention to detail, and writing and grammatical skills.


* Must have the ability to prioritize and complete multiple projects in a timely manner.


* Must have a high level of interpersonal skills and be able to communicate effectively with a wide variety of personalities.


* Must have the ability to handle a high paced environment with a positive attitude and contribute to a team-oriented environment.
* Intermediate knowledge of office procedures and software (Microsoft Office Suite, etc.).

JOB RESPONSIBILITIES

* Provide administrative support for the service department.
* Receive and route incoming customer calls.
* Schedule service department manpower and dispatch workorders to electricians.
* Maintain fleet records and licenses.
* Process billings, weekly timecards, invoice tracking and payments.
* Monitor and track fuel usage.
* Coordinate permitting and inspections.
* Assist with collections.
* Maintain customer master data and respond to customer inquiries.
* Assist with job set-up and updates in payroll and accounting systems.
* Compose and/or edit letters, memos, reports, procedures, etc., as required.
* Process day-to-day administrative items (e.g. expense reports, supply requisitions, personnel transaction forms, operating budgets, etc.).
* Perform other tasks and special projects as assigned.
