Position Summary:

Function as primary person responsible for receiving supplies and parts, checking packing slips and other receiving documents for accuracy of shipment and be familiar with purchase order creation procedures. Maintain parts inventory levels and organization in storeroom, back up supply area, and specific machine areas as necessary utilizing CMMS system. Coordinate purchases, part identification and sourcing with vendors as needed supporting the department manager.

Essential Functions & Key Responsibilities:

* Performs business function support duties for CMMS and other special requests or requirements to building mechanical equipment.
* Assists the Facility Manager in the management of the Work in Progress Report.
* Orders parts as needed.
* Conduct monthly and quarterly inventory checks for all inventory.
* Assist periodically with collecting information from daily work orders for inventory updates, as well as, with physical inventory of parts/equipment/tools.
* Answers business telephones and interacts with the customer and building tenants.
* Assist with reviewing and compiling monthly invoices.
* Issue purchase orders for parts/materials
* Assist periodically with collecting information from daily work orders for inventory updates, as well as, with physical inventory of parts/equipment/tools.
* Prepare requisitions with additional required documents for approvals.
* Work with Vendors to identify replacement or lower cost products and supplies.

Qualifications:

* Minimum 3 years' experience in office operations and data entry.
* High School diploma or GED required.
* Some college a plus.
* Familiar with CMMS systems.

Other Desired Experience:

* Must have strong written and verbal communication skills.
* Organized and detail oriented, ability to learn quickly and prioritize work tasks.
* Must be proficient in Excel and Word software systems.
