Under general supervision, the DMV Administrator II position is accountable for securing collateralized titles for the consumer and indirect loan portfolios with the Department of Motor Vehicles (DMV). Major duties include tracking electronic and paper titles to ensure lien holder status, processing DMV packets for new loan fundings, and providing routine support for members, internal departments, dealers, lien holders. The DMV Administrator II position possesses a wider range of DMV expertise and duties such as out-of-state transactions, unperfected title work, and audits. Maintain the securitization of the loan collateral by retaining any paper titles, updating and correcting collateral information on the FDI/TMS system. Release titles accurately and timely. Follow all applicable laws and regulations concerning DMV processing. Help identify areas needing training to increase accuracy and to meet member service standards.

**ESSENTIAL RESPONSIBILITIES:**

+ Collects incoming DMV loan packets from the Funding Services team. Validates that required documents are accounted for and accurate and make correction requests when necessary.

+ Retrieves, sorts, and distributes incoming mail and faxes from branches, partners, members, lenders, dealers, third-party vendors, and insurance companies.

+ Processes returned mail. Research and validates needed corrections, performs system file maintenance, and makes member contact when necessary.

+ Handles incoming and outgoing phone calls to assist Borrowers, internal credit union staff, Dealers, and Lien Holders. In addition, clearly communicates via alternate channels such as email when appropriate.

+ Takes ownership of incoming individual or DMV department email requests and confirms completion with initiating party, when appropriate.

+ Tracks and files paper titles.

+ Makes recommendations for workflow efficiencies and automation points for resource maximization.

+ Completes lien satisfied documentation for branches, dealers, and members.

+ Processes collection title requests to oversee electronic title to physical title conversion.

+ May be required to travel to local DMV to perfect titles on time sensitive and urgent matters.

+ Engages in cross-training and conducts inter-department new hire training.

+ Maintains a thorough knowledge of loan documents, products, credit union services, systems, delivery channels, policies, and procedures

+ Reviews daily paid-off and potential title fraud reports. If not handled through automation, manually pulls paper titles or release electronic liens on paid loans for distribution to dealers, other financial institutions, insurance companies, and members within fifteen (15) business days.

+ Processes out-of-state transfers and registration requests.

+ Regularly works the unperfected title report to ensure credit union lien position is correctly recorded and perfected.

+ Prior to Supervisory escalation, takes ownership of difficult member, dealer, or lienholder requests and pro-actively resolves issues, concerns, or further delays.

**EDUCATION and/or EXPERIENCE:**

+ The experience as acquired from a high school diploma or equivalent plus one to two (1-2) or more years of previous lending or DMV experience or demonstrated superior performance.

+ Knowledge of DMV processing and respective documents.

+ Working knowledge of the FDI/TMS systems preferred.

+ Ability to use a personal computer with a working knowledge of Microsoft Office applications such as Excel, Word, PowerPoint, and Outlook.

+ Ability to communicate effectively include strong verbal, listening, and writing skills

+ Must be organized and detail oriented with the ability to multi-task and work in a high-paced environment.

+ Ability to interface with staff, members, dealers, and vendors in a courteous and professional manner.

+ Must arrive for work on time and follow established rules and procedures.

+ Must collaborate and interact effectively with co-workers, including upper management.

+ Must be committed to delivering exceptional quality service.

+ Should always display a positive attitude and professional appearance.

+ Excellent analytical skills with the ability to compute basic mathematical equations and ratios.

+ Demonstrate problem-solving skills.

The pay range for this position is listed above. Our pay ranges are designed to allow for candidates with various levels of experience and skill to be considered, and to allow room for growth to be achieved in a role over time. Generally, new hire salary offers fall within the minimum to midpoint of a pay range for many candidates. Any offer extended to a candidate will be based upon their individual combination of experience, knowledge, skills, and education as well as internal equity.
