Job Summary

Performs diversified functions of limited scope and difficulty within the assigned office. Organizes and facilitates a variety of special projects and/or programs in support of office operations that involve conducting research, compiling data and preparing reports as required. Acts as a liaison between the assigned office and other District offices as well as outside agencies.

Essential Functions

• Organizes and facilitates a variety of special projects and/or programs; compiles data and statistics; prepares financial, statistical and/or narrative reports; reports results and makes recommendations to superior, when appropriate.

• Conducts research in response to inquiries received or in an attempt to resolve problems; gathers and analyzes information and/or data; communicates findings.

• Acts as a liaison between the assigned office and local and state governmental entities.

• Works collaboratively with other offices and outside agencies on the implementation of joint ventures; may assist by recruiting District staff participants, securing District space and/or addressing financial issues.

• Attends meetings with representatives from outside agencies that desire to partner with the District on new initiatives; gathers information and determines the feasibility of the District's participation; makes recommendations to superiors.

• Evaluates the effectiveness of ongoing and special projects being conducted under the auspices of the assigned office; makes recommendations for modifications as needed.

• Responds to inquiries received from within the District and from outside agencies regarding School District policies, procedures and initiatives.

• Prepares a variety of reports for local and state government agencies.

• May conduct basic research on legal issues related to School District programs and policies as requested.

• May assist with short- and long-range planning for the assigned office

• May participate in the review and/or preparation of grant proposals.

• May represent superior at staff meetings

Special Finance Specialty

• Ensures the accurate and timely processing of financial transactions.

• Prepares payments for non-school district operated schools and other vendors.

• Enters and maintains data as necessary in Oracle and the other departmental databases.

• Verifies receipt of documents and matches data from multiples sources to determine data validity.

• Analyzes data to determine trends, identify discrepancies, and develop recommendations to rectify any inconsistencies.

• Verifies and reconciles payments/refunds in Oracle and other Special Finance databases/applications.

• Provides guidance and direction to external stakeholders on various matter such as registering as vendors, payments and balances.

• Serves as a liaison to various internal and external entities on issues related to enrollment status, invoices, payment and balances for students in non-District managed schools.

Qualifications

Minimum Requirements

• Bachelor's degree from an accredited college or university.

• One year of full-time, paid administrative or administrative support work which has included conducting research, analyzing and collecting data, preparing reports, and extensive use of Excel as well as using fiscal and business best practices related to project management and has involved interfacing with multiple departments and agencies.
