Handles incoming calls / faxes from patients, referring physician offices, nursing homes, hospitals, family members or interoffice staff to schedule patients using outstanding telephone communication and computer skills.  Must be organized, multi-task oriented, energetic, and possess a positive professional attitude.

Scheduling Duties

  • Provide excellent customer / patient services via phone or in person.
  • Handle incoming calls / faxes from patients, referring physician offices, nursing homes, hospitals, family members or interoffice staff to schedule. New patient appointments, Routine follow-up appointments, Follow-up appointments for patients having problems, Pre-Surgical consultations, Post-op appointments.
  • Make outgoing calls to patients that are due for routine follow-up appointments with our providers.
  • Arrange additional testing (labs/CT’s/PFT’s/Holters/etc.) through the hospital or doctors offices, that our doctors request be done prior to an office or satellite clinic appointment.
  • Communicate closely with our medical records department regarding records that need to be retrieved for any scheduled or pending appointment.
  • Notify our insurance department of any patients with insurance that need a pre-auth or patients having no insurance.
  • Work closely with our nursing staff to coordinate doctor time for office appointments or hospital procedures.
  • Back-up clinic coordinator

  • Continue professional development of maintaining confidentiality, able to maintain confidentiality under HIPPA standards

Basic UPH Performance Criteria        

  • Demonstrates the UnityPoint Health Values and Standards of Behaviors as well as adheres to policies and procedures and safety guidelines.
  • Demonstrates ability to meet business needs of department with regular, reliable attendance.
  • Employee maintains current licenses and/or certifications required for the position.
  • Practices and reflects knowledge of HIPAA, TJC, DNV, OSHA and other federal/state regulatory agencies guiding healthcare.
  • Completes all annual education and competency requirements within the calendar year.
  • Is knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse. Brings any questions or concerns regarding compliance to the immediate attention of hospital administrative staff.  Takes appropriate action on concerns reported by department staff related to compliance.

High School Graduate

 

Experience:

 

 

 

 

1 + years of work experience; Knowledge of healthcare, scheduling and customer service preferred

License(s)/Certification(s):

 

 

 

Valid driver’s license when driving any vehicle for work-related reasons.

 

Knowledge/Skills/Abilities:

 

 

 

 

Writes, reads, comprehends and speaks fluent English

Basic computer knowledge, email, phone system

Healthcare scheduling and customer service

Patient / Customer focused
