Body Shop Coordinator

* Review ROs to verify that all parts, labor rates, jobs line coding, and tech stories are accurate for processing
* Handle paperwork in accordance with warranty/retail procedures.
* Create Body, Cabinet, and Glass shop R.O.s as needed
* Add jobs to open repair orders as needed by advisors, techs, and delivery/service managers.
* Maintain communications with Shop Manager, advisors, and customers, to keep them informed on status of repairs.
* Return all phone and email messages in a timely manner.
* Responsible for the in -process RO's for Body and Glass shops (Includes retail, warranty and insurance work)
* Responsible for contacting necessary departments when needed in order to close R.O. (parts, techs, warranty etc)
* Responsible for completing the paperwork to completed status as they are completed.
* Assure advisor and/or cashier receives information on completed R.O.
* Coordinate with advisors and cashiers on all necessary documents that are to be signed and payment arrangements that are to be made, at or before pickup.
* Contacts insurance companies for supplements and final invoicing
* Ensure all documentation is provided when required - either by manufactures or company process
* Review, book and pre-invoice stock unit tickets, delivery repair orders, and Specialty Shop repair orders when necessary
* Assist manager with day to day activities to maintain a continuous flow of work through the shops
* Assists/fills in for other specialty shop RO personnel when needed
* Attend all company required meetings and training.
* Additional responsibilities as requested or required.
