Senior Residency Coordinator

MAIN FUNCTION:
Serves as an assistant to the program directors. The role will be to have a thorough and complete understanding of the basic standards in each particular specialty. This position is responsible for all the on-boarding and recruiting process for new residents as well as the ongoing maintenance of all the stages of residency.
DUTIES AND RESPONSIBILITIES:
1. Supports program director in all programmatic activities such as scheduling resident intern, exams, call schedules for residents, and PTO time for residents.
2. Has a thorough understanding of all basic standards as to advise program director on regulatory requirements also keep track of on-call schedules to be in compliance with the NYS residency work hour limits.
3. Helps coordinate recruitment activities for prospective residents.
4. Interviews prospective applicants.
5. Supervises office administrative staff.
6. Organizes and reviews remedial plans when needed, keeps individual files on all residents to include their evaluations from various rotations, both formative and summative evaluations.
7. Enters information into TRIVA and also respective specialty colleges.
8. Has a formal line of communication to the Director of Graduate of Medical Education as well to ensure regulatory aspects of the residency.
9. Prepares for any inspection involving respective programs and ensure that all proper paperwork is completed, affiliation agreements, resident evaluations, and faculty evaluations.
10. Has a thorough and complete understanding of New Innovations, which is the resident software and is used to evaluate the residents. Ensure that evaluations are completed in a timely manner.
11. Has excellent interpersonal communication and management skills are a must. The main role of this position is managerial, and an ability to delegate tasks and supervise work in order to check for quality control is necessary.
12. The Residency Coordinator works primarily as a liaison between the residency director, chief residents, faculty and student community, so an ability to efficiently relay information in a clear and concise manner is of the utmost importance.
13. Has ability to collect accurate data for student consumption is a necessary requirement, as the coordinator is the main point of information concerning the residency placement process.
14. Is responsible for attending all annual mandatory educational programs as required by position.
15. Employee understands and demonstrates the importance of satisfying the needs of the customer/patient by interacting with him/her in a friendly and caring way, being attentive to the customer's needs, both psychologically and physically, and by taking the initiative to maintain communication with the customer in order to provide a secure and pleasant experience with the Arnot Health

EDUCATION:
An associate's degree is the minimum education requirement for entry level candidates, although those with equivalent training/experience, a bachelor's degree or a master's degree in a administration or management are the most desirable candidates.
EXPERIENCE:
Management/Director/Coordinator level experience and medical terminology knowledge is a must.
CARDIOPULMONARY RESUSCITATION (CPR) REQUIRED:
No CPR requirements.
PHYSICAL DEMANDS:
Light physical lifting. Typical office work.
EXPOSURE CATEGORY:
Category III. No exposure to blood, body fluids or tissues.
