Description

The Evaluation Coordinator helps to ensure a smooth operation of the evaluation department by working with referral sources to schedule evaluations, administering, and scoring psychological assessments, and editing and finalizing assessment reports. The evaluation coordinator regularly works with the psychologist, billing specialist and psychometrists to achieve the goals of the evaluation department.

Job Duties:
  • Establish and maintain a positive working relationship with referral sources and manage all referrals (internal and external).
  • Coordinate scheduling of evaluations, including intake, testing and follow-up interviews.
  • Coordinate scheduling of psychometrists.
  • Serve as liaison between clinicians and evaluation department.
  • Maintain knowledge of all psychological assessment instruments.
  • Ensure testing equipment is in working order.
  • Order and maintain sufficient inventory of assessment-related supplies (test protocols, administrations on Q-Global, etc.).
  • Perform duties of a psychometrist under the general supervision of a licensed psychologist. See duties of psychometrist below.
  • Train psychometrists and provide oversight on proper methods of test administration and scoring, how to record observations, and how to respond to patient needs or behavior management issues during testing sessions.
  • Ensure completion of evaluations in a timely manner.
  • Review and edit evaluation reports.
  • Send completed evaluation reports to identified referral source.
  • Prepare and track invoices to referral sources to ensure prompt receipt of payments.
  • Coordinate with billing department to manage billing of insurance and obtaining authorizations if needed.
  • Provide orientation for new clinicians and staff by providing an overview of the evaluation department.
  • Perform other duties as assigned.

Psychometrist Duties:
  • Administer a broad spectrum of tests and assessment protocols under the supervision of a psychologist.
  • Evaluate and respond to patient needs during evaluation; manage patient behavior during assessment sessions and control the testing environment to ensure validity of results.
  • Consult with staff or psychologist when necessary, regarding unusual patient needs and/or special accommodations during evaluation.
  • Score psychological and neuropsychological measures according to normative standards and clinical protocols using test manuals and/or computer scoring programs.
  • Provide thorough documentation of observations about patient behavior during testing.

Requirements

  1. Bachelor's degree in Psychology or related field of study.
  2. Grammatical proficiency to guide accurate editing of evaluation reports.
  3. Adept interpersonal communication skills. The ability to distill and explain complex procedures and processes to other professionals.
  4. Good organizational skills and excellent recordkeeping.
  5. Ability to build rapport to help patients feel more at ease.
