SUMMARY STATEMENT:

The Receptionist/Data Entry Specialist under the supervision of the Executive Director/GRYD Supervisor will assist all individuals seeking services to obtain the full array of services provided at Champions In Service. Responsible for ensuring all customers understand the availability of services and provide guidance for needed services.
DUTIES AND RESPONSIBILITIES:
Responsible for the reception area and will be required to perform all day-to-day responsibilities for the following: Must be able to open the facility at 9:00am and close the facility at 5:00pm. Open FRONT MAIN GATE ENTRANCE.
  • Responsible for making requested phone calls and appointments, give or take accurate names, phone/fax numbers, annotate and forward legibly written messages, as well as maintain Monthly newsletter with CIS information.
  • Responsible for sending and distributing all incoming facsimiles.
  • Will greet, meet and provide intake documentation, as required by individual programs in a calm, consistent temperament and professional manner. 
  • At all times the receptionist shall serve as an agent for Champions In Service and will intervene as needed in encouraging youth and their family to establish themselves as socially positive members in their community
  • Carry out the day to day administration.
  • Knowledge of all CIS system services, contracted providers, partners and approved vendors in the community and available community resources.
  • Able to handle sensitive materials and perform confidential duties.
  • Enter participant information into multi-platform databases in a timely manner.
  • Referrals screening, tracking via excel sheet.
  • GRYD data collection, generate reports, maintain participant active/inactive spreadsheet and other duties as needed.
  • Ability to deal with the public in a pleasant, positive, professional manner.
  • Show initiative, display excellent accuracy and attention to detail.
  • Responsible for the front desk main voice mail system.
  • Coordinate and maintain staff directory information.
  • Answer and liaise all queries, by referring them to the proper programs and/or program personnel.
  • Perform clerical support duties as requested.
  • Prepare, organize and distribute memorandums as requested.
  • Distribute individual documents as requested.
  • Inform customers with a complete overview of the processes and procedures of CIS programs.
  • Punctuality, reliable and good management skills.
  • Coordinate office maintenance repairs and Office/maintenance supplies on an as needed basis.

QUALIFICATIONS:

REQUIRED:Must be a team player and possess the ability to communicate with supervisors and co-workers. Receptionist should have good public speaking skills and strong personal discipline. In addition, the ability to handle very high level of inquiries to our various programs. CIS requires a lively, enthusiastic person who can cope under pressure to work in our busy office. Must have knowledge of the community and its surroundings, especially gang locations and recreational activities. Must be able to work on multi-platform databases and enter data accurately. Must have prior experience in volunteerism and participation in this area, with strong integrity. Must be bi-lingual in English and Spanish. Must present a neat, businesslike appearance and behave in a professional manner.
