Summary of Duties:Under the general supervision of the Common Service Manager-Protocol and Events, the Protocol and Events Officer oversees the planning, preparation, and delivery of assigned complex and high profile official events and visits. This role also involves managing of all logistical activities related to events and hospitality delivery in New York. The incumbent is also responsible for all technical elements of the organizations events, working with colleagues to analyse and evaluate the need for technical support for various events, managing the inventory, acquisition, maintenance and storage of all equipment, coordinating logistical requirements, making recommendations based on scheduling, capacity and resources, providing support and coordination for mission events beyond the technical systems role. Additionally, the Protocol and Events Officer plays a role in supervising contractors and staff.. Over all this role will provide planning and event logistical support services (60% of the time) and technical expertise (40% of the time)  to directly support program  objectives and goals.

Area of Selection:This selection process is open to applicants legally residing in the New York Tri-State area at the time of appointment. Candidates must be legally authorized to work in the United States.

ESSENTIAL QUALIFICATIONS
  • Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.
  • Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.
  • Language will be assessed further during the process. 

Education:
Candidates will be required to provide proof of the completion of their education.
  • Bachelor’s degree from an accredited college or university
  OR 
  • An equivalent combination of education, training and/or work experience in a related field will be considered in place of Bachelor’s or college degree.
     
Language:
  • An advanced proficiency level (written and oral) in English.
     
Experience:
  • Minimum 4 years of recent experience* in customer service or hospitality; 
  • Recent experience* organising events and client visits;
  • Recent experience* operating and maintaining audio visual systems.

*Recent is defined as within the last six years.

RATED REQUIREMENTSThe Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.
Knowledge:
  • Knowledge of corporate event or conference delivery;
  • Knowledge in operating, maintaining and troubleshooting technical issues of audiovisual systems in a hospitality environment; and
  • Knowledge and proficiency in working with Word, Excel, and Outlook, research, Zoom/teams and mobile platforms.

Competencies:
  • Resilience and adaptability;
  • Tactful and diplomatic;
  • Judgement and discretion;
  • Organization and coordination.
     
Abilities: 
  • Ability to communicate effectively orally and in writing;
  • Ability to manage multiple priorities with tight deadlines, quick-thinking;
  • Ability to take initiative to identify, troubleshoot and solve problems;
  • Ability to coordinate and oversee the work of contractors and/or staff
  • Ability to coordinate logistical support for a team and organization of schedules.
     
Asset Qualifications:

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

  • An intermediate level proficiency (oral and written) in French;
  • Recent experience* organising events and visits with VIP delegations/high-level clients. 
*Recent is defined as within the last five years.  

Operational Requirements:
  • Normal hours of work for this position are in accordance with the Locally Engaged Staff (LES) regulations of 37.50 hours per week in the office.
  • Overtime, including early mornings, evenings and weekends, will be required with advance notice.
     
Conditions of Employment:Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position.

Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.

Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period.
