Job Description

Job Purpose:
Under the supervision of the Psychiatry Program Manager this position provides clerical and clinical support to the Outpatient Behavioral Health team including the Mental Health and Psychiatry programs. 

Duties/Responsibilities:
  • Acts as the first point of contact for patients and provides day-to-day clerical support to administrative office activities for the Behavioral Health team. 
  • Greets visitors, patients, and families in a friendly, trauma informed, professional manner and direct or triage them appropriately for services. 
  • Serve as the primary coordinator of patient workflow, referrals and registration of Behavioral Health patients and is the primary day-to-day contact for all providers and their support staff, including those who are working at other clinic sites (ex. school-based programs or main clinic).
  • Schedule patients in accordance with established provider schedules and clinic protocols. 
  • Serves as “gatekeeper” for incoming and outgoing Behavioral Health referrals
  • Serves as a potential community liaison for different partner agencies and is the primary initial contact for patients and referral agencies seeking Behavioral Health care. 
  • Provides quality customer service over the phone and in-person including answering telephone calls, screen calls, take messages, provide patients with pre-appointment information and questions. 
  • Adheres to all clinic protocols regarding the management and compassionate care of patients undergoing mental health crisis.
  • Answers patient inquiries to streamline the process for patients and refers appropriate clinical questions to medical assistants/clinical personnel or other departments, as necessary. 
  • Serves as administrative assistant to Psychiatry Program Manager and Providers at times. 
  • Build trust and rapport with internal and external customers as well as community partners.
  • Supports program goals to reduce cultural, socioeconomic, and other barriers to care.
  • Perform any other duties as assigned to help drive our vision, fulfill our mission, and meet our organization’s values.

Required Skills/Abilities:
  • Excellent written and verbal communication skills.
  • Reliable attendance and consistent community engagement  
  • Organizational and time management skills.
  • Proficient in Microsoft Office Suite.
  • Experience with Electronic Health Records.
  • Highly self-motivated and able to function within a team setting.   
  • Able to actively listen and think critically.
  • Able to pass a criminal background check.

Education and Experience:
  • Non-violent Crisis Intervention Comprehensive training class completed within 6 months of hire and recertify prior to the expiration date.  
  • Current American Health Association (AHA) Basic Life Support Card (BLS) or within 6 months of hire. 

Immunizations Required:
  • TB test (upon hire)

Physical Requirements:
  • Prolonged periods sitting and/or standing at a desk working at a computer.
  • Able to lift up to 15 pounds rarely.
  • Able to travel as needed.
