Scheduling Coordinator

Job Summary: The scheduling coordinator is responsible for answering incoming calls, emails & texts in order to schedule appointments, manage our technician’s daily schedule, and provide excellent customer service across multiple locations and platforms. This position is paid hourly and is eligible for overtime.
Duties/Responsibilities:
- Manage a high volume of incoming leads across multiple platforms & locations by coordinating appointments to fit both customer’s scheduling needs, as well as technician availability.
- Keep organized & excellent note-taking/communication for follow-ups that may be needed for scheduling.
- Stay in contact with techs in the field in case changes arise in their daily schedule.
- Direct questions from customers to the appropriate employee.
- Upload customer information into our software system, or update existing info if changes occur.
- Manage scheduling conflicts, cancellations, and rearranging appointments for best use of technician's time.
- Reschedule appointments in the case of an employee being out sick, emergency, etc.
- Track customer shipments for scheduling purposes, and help with receiving (varies by location).
- Manage office by keeping track of supplies, ordering when needed, and keeping it clean & organized for any incoming customers.
- Assist customers that may come in to office with questions, to view samples, or schedule.
- Take care of weekly bank deposits and mailings that may need to be sent to the home office.
Our Ideal Candidate:
- Has at minimum a high school diploma or equivalent.
- Thrives in a fast paced environment.
- Is a highly organized, logical thinker.
- Is technology savvy.
- Has 1+ years of logistics or scheduling experience, or has at 2+ years of customer service experience.
