Overview: Seeking an experienced professional to maintain accurate financial records by providing administrative and clerical support to process, record, and reconcile accounts payable invoices and payments.
 

Key Responsibilities:

  • Apply correct coding to invoices, expense reports, etc., in line with standard procedures to ensure accurate entry into the financial system.
  • Enter invoices and expense reports into the system efficiently and accurately.
  • Handle vendor communications via phone or email to resolve inquiries and issues.
  • Prepare and enter purchase orders into the financial system.
  • Investigate and resolve issues related to invoice and purchase order processing.
  • Manage payment processes including check runs, wire transfers, and ACH transactions.
  • Assist with generating monthly reports and support month-end closing processes.
  • Reconcile various accounts, identifying and correcting posting errors or omissions.
  • Address internal and external inquiries regarding account statuses and discrepancies.
  • File, maintain, and distribute financial records and reports.
  • Assist with general office duties such as phone coverage and mail handling.
  • Perform other duties as assigned to support the accounting team.


Required Skills and Experience:

  • Proven experience in accounts payable and general accounting.
  • Proficiency in financial software systems, such as QuickBooks Enterprise – Manufacturing & Wholesale Edition, Visual, or similar.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with attention to detail.
  • Ability to handle multiple tasks and meet deadlines.
  • Open to learning new skills and adapting to changes.
  • Strong problem-solving abilities and follow-up on pending issues.
