We’re looking for a highly organized and experienced Office Manager to join us for an exciting 3-6 month project. In this role, you’ll take the reins of office operations, create and implement efficient processes, and manage the daily rhythm of a dynamic workplace. Your mission: to bring order, streamline workflows, and ensure everything runs like a well-oiled machine. You’ll play a key role in building a productive, professional, and smoothly functioning office environment by developing standardized procedures and enhancing operational efficiency. Responsibilities

1. Scheduling & Coordination:

  • Handle all the logistics for meetings, from finding the perfect venue and arranging catering to setting up technology like a pro.
  • Assist senior management with scheduling meetings, appointments, and events to keep everything running smoothly.
  • Provide seamless support for board and leadership meetings by managing schedules, preparing agendas, and ensuring minutes and reports are distributed promptly.


2. Office Management:

  • Be the go-to support for senior management’s administrative needs, ensuring they have everything they need to succeed.
  • Keep the office stocked, organized, and professional, creating a welcoming and efficient workspace.
  • Maintain filing systems that make documents and records easy to find, ensuring everything is organized and accessible.
  • Respond quickly and professionally to inquiries and communications to keep things moving smoothly.


3. Data Management:

  • Keep databases and contact lists updated and accurate, ensuring no detail is overlooked.
  • Generate reports and dig into data to provide insights on operational and engagement activities.
  • Handle all data tasks accurately and securely, maintaining trust and integrity at every step.


4. Financial Administrative Support:

  • Process daily deposits and expertly manage accounts payable and receivable with precision.
  • Review vendor invoices, reconcile accounts, and ensure every transaction is coded correctly.
  • Create and update vendor profiles, manage disbursements, and keep financial records in top shape.
  • Assist with financial tasks such as sales analysis, tax reporting, and other projects that keep the business on track.


Qualifications

  • You can commute to Harvard Square in Cambridge, MA, and thrive in an onsite role.
  • You bring 3-5+ years of solid experience in operations, administrative, or strategic support roles and have the stories to prove it.
  • You have a knack for setting up and streamlining office processes that make things more efficient, organized, and just plain better.
  • Your organizational skills are top-notch, and your attention to detail is legendary. Nothing slips past you.
  • You’re a multitasking pro who can juggle priorities, meet deadlines, and keep senior management informed without breaking a sweat.
  • Tech-savvy and proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)—you’re comfortable navigating the tools that keep an office running.
  • You’re adaptable, proactive, and ready to take on anything from day-to-day tasks to big-picture projects.
  • Excellent communication skills? Check. You know how to convey information clearly, professionally, and with a positive touch.
  • You’re comfortable with basic accounting tasks like managing payables, receivables, and reconciliations.
