About USC Shoah Foundation
Established in 1994 and a part of the University of Southern California since 2006, the USC Shoah Foundation's core purpose is to give opportunity to survivors and witnesses to the Shoah - the genocide of the Jews - to tell their own stories in their own words in audio-visual interviews, preserve their testimonies, and make them accessible for research, education, and outreach for the betterment of humankind in perpetuity. It achieves this work through the preservation and dissemination of a massive archive of more than 59,000 testimonies, engaging educational programs that reach multiple audiences, innovative academic and related research programs, and technology efforts that ensure that these histories remain accessible and relevant.
About the Opportunity
The Program Director, Constituent Affairs is responsible for administration of the Executive Office, organization of the USC Shoah Foundation Board of Councilor meetings, including outreach to core constituency groups (internally and externally) and duties akin to those of a chief of staff across all relevant efforts that involve the Executive Director of the USC Shoah Foundation.
Essential Duties and Responsibilities:
- Work closely with the Special Project Lead to administer and organize the work of the Executive Office.
- Manage and oversee administrative and related activities for the USC Shoah Foundation's Board of Councilors and its committees. These may include logistics, bylaws and policies, compliance with working rules, development of meeting minutes and any other special considerations.
- Maintain records, materials, and files for all Board committees, working groups and task forces.
- Oversee all activities for new Board and committee member orientation including scheduling, refining all orientation materials and summary reports.
- Oversee calendars for Board, Committees, and major Executive Director engagements.
- Provide confirmation and reminders of meetings. Manage reservations for outside meetings and schedule conference rooms and technology/equipment as needed. Regularly review calendar and proactively manage scheduling conflicts.
- Coordinate with Programs, Advancement, and other departments on events in which the Executive Director participates.
- Ensure timely delivery of work related to special initiatives of the Executive Director.
- Manage teams responsible for drafting advancement proposals and board correspondence.
- Draft, edit and proofread correspondence for the Executive Director.
- Create and maintain frequently used distribution lists.
- Codify process for providing hospitality for high level guests. Ensure that teams provide concierge level of service to Board of Councilors members, as well as major stakeholders and important guests.
- Oversee employee, board, and donor recognition, including for important events, accomplishments, etc.
- Lead several external and internal events throughout the year in collaboration with events and marketing/communications teams, which may include those falling on evenings and weekends.
- Contribute positively as an ad hoc member of the Leadership team units.
- Be available for occasional travel to the USC Shoah Foundation offices in Los Angeles, as well as travel to sites relevant to the successful resolution of key initiatives.
Minimum Qualifications:
- Master's degree or equivalent combination of education and experience.
- 7 years of experience in program development and management, with a proven track record of launching and scaling successful initiatives.
- Strong leadership skills, with experience managing teams and non-profit boards.
- Direct experience building, implementing and overseeing complex projects.
- Demonstrated ability to develop and implement strategic plans and achieve measurable outcomes.
- Experience with fundraising, budget management, and resource allocation.
- Excellent communication and interpersonal skills, with the ability to engage diverse stakeholders and build strong partnerships.
- Strong organizational and project management abilities, with a focus on achieving results.
- Sensitivity to cultural issues and a commitment to promoting diversity, equity, and inclusion.
- Willingness to travel up to 20% as needed.
