The Intake Specialist plays a crucial role in the initial interaction between the firm and potential clients, providing a compassionate and professional experience. This individual will be responsible for gathering essential information from clients, assessing their needs, and ensuring seamless communication between clients and legal staff.

Responsibilities
  • Act as the first point of contact for potential clients.
  • Respond promptly and courteously to client inquiries via phone and email.
  • Maintain professionalism and confidentiality in all interactions with clients.
  • Conduct comprehensive intake interviews to collect relevant information about potential cases, including legal issues, personal details, and any pertinent documentation.
  • Assist clients with completing necessary paperwork, forms, and documentation related to their cases, providing guidance and support as needed.
  • Organize and document client information accurately in the firm's database or case management system.
  • Evaluate the urgency and priority of incoming inquiries and escalate as necessary to ensure timely responses.
  • Adhere to established protocols and procedures for intake processes, ensuring compliance with legal and ethical standards.
  • Conduct periodic reviews of intake procedures to identify areas for improvement and implement best practices.
  • Maintain accurate records of client interactions and intake details, ensuring data integrity and confidentiality.


Qualifications
  • High school diploma or equivalent.
  • Previous experience in customer service, client relations, or intake coordination preferred.
  • Excellent verbal and written communication skills, with a professional and empathetic demeanor.
  • Strong attention to detail and organizational abilities, with the ability to manage multiple tasks efficiently.
  • Familiarity with legal terminology, processes, and procedures is a plus.
  • Proficiency in Microsoft Office applications and familiarity with CRM software is a plus.
  • Commitment to maintaining confidentiality and upholding ethical standards in handling sensitive client information.
