The Project Manager (PM) will provide project administrative and planning support to the GC Superintendent and the GC Project Director. Duties will include but not limited to the processing of contracts, subcontracts, change orders, RFI's, submittal and maintain all logs. The PM will also provide support in estimating efforts and plan distribution, preparing documents for weekly construction meetings and preparation of monthly job cost reports. The PM will coordinate vendor scheduling and RFP's associated to the GC subcontract. He will write subcontracts and ensure the scope of work associated to that contract meets specification of the primary contract. The PM will coordinate setting up manpower and equipment in collaboration with the superintendent to ensure daily job execution. Schedule's of work for the job site will be a critical job part and standard.
PROJECT SUPPORT
• Provide administrative support to GC Superintendent and Project Director(s)
Superintendent and/or as directed by the Project Director.
• Set up schedule of work.
• Request RFP's from appropriate vendors to support SOW completion
START-UP
• Prepare Start Up documents for new project(s) as assigned from the GC Superintendent and Project Director.
o Prepare and mail Prelim
o Request Insurance Certificate(s) as per the terms and conditions of the contract
o Enroll in OCIP/Wraps/CCIP/UCIP when required per contract
? Enroll Subcontractors/Operated Equipment Rental Companies
o Prepare any required start-up contract document(s)
o Download and save Wage Determination(s) in DropBox
o Prepare and submit Labor Rates for Change Order Request(s)
• Coordinate with Project Director and Project Executive Team with the preparation of the scheduling of the Labor, subcontractor(s), equipment(s) and material(s) for the project during the start-up
o Procure and vet Subcontractors and/or Operated Equipment Rental Company(ies) ? (3) Quotes Minimum when required
? Union Contractors when required
? DIR Registration when required
? Prepare Subcontract Agreement(s) and/or Work Orders
Procure Material as required
o (3) Quotes Minimum if required
o Prepare Purchases Orders
o Enter Purchase Orders into Accounting Software
• Assist Project Director and/or Project Team with the preparation of Submittals
ADMINISTRATION
• Assist with gathering dailies, THAs, and any other miscellaneous field paperwork and saving to DropBox
• Assist PM with preparing the Schedule of Value (SOV)
• Run Job Cost Reports for PM
• On-Board New Hires as needed
Time and Material / Change Order Request (FOR ALL PROJECTS)
• Prepare Change Order Request (COR) for the PM to review and submit to the Owner/General Contractor (GC)
o Submit requested supporting documentation for CORs
• Follow-Up on CORs until Change Order is received and processed to bill
o Send weekly COR Logs to the Executive Team
o Send weekly or as needed COR Logs to Owner/GC
o Assist the Vice President of Operations with collections of CORs
PROJECT SCHEDULE
• Create the 2 week look ahead
• Coordinate daily and/or weekly schedule of Labor with the Superintendent and Dispatcher
• Coordinate Subcontractor(s) and/or Operated Equipment Rental with Superintendent.
MONTHLY DUTIES
• Prepare SOV for Superintendent to complete
• Prepare and submit all required compliance documents as per the contract CLOSE OUT
• Prepare Warranty Letter
• Close Out OCIP and any other Platforms required
• Prepare Operation & Manuals to be submitted
ACCOUNTS PAYABLE / ACCOUNTS RECEIVABLE
• Vendor/Subcontractor(s) Invoice(s) to be reviewed for accuracy against PO/WOs and dailies, submit for approval and once approved enter into Sage
• Prepare and submit monthly billings to the Project Director for review and approval
• Submit billing once approved (Tungsten/Textura/Procore/Accounting Platforms)
