Duties and Role:

  • Responsible for maintaining NCI Agency CIS Assets Property Accounting Records for NCI Agency Entities and External partners within CSU AoR.
  • Enables partner requirements within Service Level Agreements (SLA).
  • Enables the execution of Annual Inventory Inspections in accordance Agency Directives and coordinated with Account Holders in NCI Agency Entities and External patners within the CSU AoR.
  • Conducts detailed analysis of the Asset Management system deficiencies and provides solutions in line with existing standards to ensure operational readiness for all customers.
  • Monitors Account Holder inventory balance lists ensuring all CIS equipment discrepancies are fully identified, investigated, documented, reported and implements corrective actions in accordance with NCI Agency directives.
  • Responsible for processing Requisitions and Receiving goods within Enterprise Business Application (EBA).
  • Manages tasks assigned to Asset Management from Request Fulfilment Coordinator or Change Management Coordinator in the NR & NS ITSM ticketing system.
  • Responsible for Safeguarding, Storing, Distributing, Exchanging, Transporting and Disposing of CIS Assets within the CSU AoR according to NCIA directives.
  • Facilitates Report of Survey (ROS) requests for obsolete/damaged assets, coordinates with CSSC for approvals, and coordinates with Disposal Company for pickup or drop off.
  • Ensures that there is an adequate level of Forward Stock and notifies Executive Officer of any potential inventory issues.
  • Executes Hand Over/Take Over (HOTO) in coordination with technicians and customers to ensure proper accountability compliance.
  • Coordinates Asset Management transaction requests (moves, adds, changes) following NCI Agency Directives and CSSC Standard Operating Procedures for managing the location of CIS equipment.
  • Manages an inventory tracking system (e.g. Cablesolve)
  • Manages Corporate Fuel Card – monthly reconciliation, issue resolution.
  • Liaises closely with internal Section Heads and provides assistance as required.

Requirements

Skill, Knowledge & Experience:

  • The candidate must have a currently active NATO SECRET security clearance
  • Higher vocational training in a relevant discipline with 2 years post-related experience. Or a secondary educational qualification with 4 years post-related experience.
  • Demonstrable knowledge of CIS assets and asset lifecycle management
  • Demonstrable experience maintaining an Asset Management Database
  • Demonstrable experience with Annual Inventory Inspections and Discrepancies
  • Demonstrable experience using AIS based resource management tools.

Desirable Experience

  • Knowledge of NATO Logistics Regulations
  • Experience with Oracle Enterprise Business Applications (EBA) or CNAFS
  • Experience with Cablesolve
  • Completion of IPSAS – Asset Management Course
  • Completion of Certified Asset Management Professional Course (CAMP)
  • Prior experience of working in an international environment comprising both military and civilian elements;
  • Knowledge of NATO responsibilities and organization, including ACO and ACT;
