The Revenue Cycle Supervisor role is responsible for projecting and preparing weekly/monthly reports for Front Desk patient collections, daily cash reconciliations and staff quality auditing results. S/he is responsible for the overall direction, coordination, and evaluation of Front Desk staff. Carries out supervisory responsibilities in accordance with the organization's policies, workflows, and applicable laws. Responsibilities include interviewing, hiring, and training staff; planning, assigning, and directing work; appraising performance; rewarding and disciplining colleagues; addressing complaints and resolving problems. Working with clinical, physicians and administrative staff to ensure that staff understands that our mission is “excellence in eye care.”

The Patient Services & Revenue Cycle Supervisor will be responsible for upholding OCB values of outstanding patient care, Unity, Ethics & Integrity, Fairness, Operational Excellence, and Fiscal Responsibility.

Example of Duties:
• Supervises Front Desk staff, ensuring effective use of resources, within budget and quality standards and maintains an awareness of the cost impact of decisions and actions.
• Responsible for full Front Desk operational functions and workflows, including but not limited to performance management, training, and quality.
• Optimize staff productivity and service; resolve workplace problems of team and processes; help to develop policies, procedures, and guidelines.
• Mentors and develops skills of direct reports, coordinates and assigns duties to manage patient schedules (DARS); ensuring that all patient appointments are reviewed and prepped accordingly.
• Responsible for determining appropriate copay amounts owed, coverage benefits, restricted plans and in/out of network benefits to determine patient responsibility/coverage; to ensure that OCB meets all payers’ regulatory requirements.
• Serves as a resource to staff on issues of EPIC registration, time of service collection, insurance guidelines and coverage criteria.
• Proficient in understanding 3rd party commercial payers, including but not limited to Medicare, Medicaid, Managed Care, HMO, PPO, Vision Plans, Auto and Work Comp rules and guidelines governing collection activities.
• Create appropriate fee estimates for patients; discuss insurance matters with patients to resolve questions or issues that contribute to patients paying their financial obligations.
• Participates in the overall management of servicing patients’ needs and improving revenue collections through involvement in working and communicating with physicians, office staff, leadership and others to expedite optimal processes and outcomes.
• Enhance customer service by providing coaching to staff and ensuring a safe environment for patients, staff, providers, and visitors.
• Assists in operating clinic in compliance with all legal and regulatory requirements impacting areas of responsibilities.
• Routinely audits staff work output to ensure revenue collections benchmarks are met; collects and analyzes audit results and data to improve performance quality.
• Offers staff timely and effective guidance for improving revenue collections, customer service, accuracy, and related aspects of staff performance.
• Promotes a strong productive team environment; is a role model; creates a lead by example role model characterized by honesty, trust, respect, and open communication.
• Evaluates practices and identifies areas of excessive materials and or costs to maintain budget.
• Oversee supply and facilities management for assigned location.
• Serves as liaison between area of responsibility and other constituents inside and outside of OCB.
• Communicates issues, initiatives and trends that require administrative action to department leadership.
• Acts as the subject matter expert for assigned areas of supervision, members of the team and revenue cycle areas specific to scheduled patients being seen in each location.
• Maintains expert knowledge of workflows within the scope of responsibility and optimizes the use of available technology.
 • Gathers Front Desk department metrics and prepares reports for management review.
• Recommends procedural and system changes to improve processes, operational quality, and efficiency, i.e., training resources and workflow; actively participates in process improvement projects.
• Attends all department in-services, training workshops and management meetings.
• Ensures staff complies with required in-service and organizational competencies and provides offsite monitoring support to other departments or locations.
• Makes timely and thoughtful decisions based on substantial data.

Education and Experience:
• At least five years’ experience in a high-volume medical environment, with supervisory experience preferred.
• Bachelor’s degree preferred.
• At least one year’s experience working in a busy medical practice.
• Experience using electronic medical records, specifically Epic preferred.
• Experience answering a high volume of patient calls.
• Strong verbal and written communication skills, as well as attention to detail.
• Ability to work in Microsoft Outlook, SharePoint & Teams with a strong knowledge base of all three.
• Advanced skill in multi-tasking and ability to prioritize functions based on business need.
• Ability to work with difficult people in challenging, sometimes stressful, situations.
• Demonstrated critical thinking, independent problem solving and decision-making skills.
• Ability to identify and analyze trends and patterns that contribute to insufficiencies, redundancies, and errors.
