Our commitment to mental health and well-being drives us to seek an experienced, motivated and detail-oriented Medical Receptionist to join our busy and supportive team. This role is integral to ensuring a smooth patient experience and effective insurance management.

Job Description: As a Medical Receptionist at Mentally STRONG, you will be the first point of contact for our patients, responsible for creating a welcoming environment and managing essential administrative tasks. Your role will include providing exceptional customer service and handling insurance verification to ensure accurate and efficient patient care and billing processes.

Hours: Monday - Thursday 7:30 am to 5:00 pm; Friday 8:30 am to 3:00 pm

Key Responsibilities:

  • Customer Service:
    • Receptionists are responsible for handling all incoming patient communication in a swift, efficient, kind, and professional manner that aligns with the Mentally STRONG brand standards, personality, and voice.
    • Greet and assist patients upon arrival, creating a welcoming and supportive atmosphere.
    • Manage patient appointments by scheduling, confirming, rescheduling, and canceling as necessary.
    • Address patient inquiries and concerns with professionalism and empathy, providing information about our services, policies, and procedures within specific company constraints.
    • Handle patient check-ins and check-outs efficiently, ensuring a positive experience for every visitor.
  • Insurance Verification:
    • Verify patient insurance coverage and benefits prior to appointments, ensuring accuracy and eligibility.
    • Update and maintain patient insurance information in our electronic medical records (EMR) system.
    • Assist patients with understanding their insurance benefits and any out-of-pocket costs.
  • Administrative Support:
    • Process patient payments, including co-payments and other fees, and manage financial transactions with accuracy.
    • Manage incoming phone calls, emails, and faxes, directing them to appropriate staff members as needed.
    • Perform administrative tasks such as filing, faxing, and managing office supplies to support daily operations.
    • Maintain accurate and confidential patient records in compliance with HIPAA regulations.
    • Maintains a safe, secure, and healthy work environment by establishing and following standards and procedures, complying with legal regulations.
    • Serves and protects the practice by adhering to professional standards, policies and procedures, federal, state, and local requirements.
    • Enhances practice reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
    • Convey and help enforce the clinic’s no show/cancellation and payment policies.
    • Closing Procedures - Stocking water, total petty cash, clean/sanitize lobby, empty shred box, lock the door.
    • Other duties as assigned.
Qualifications:
  • High school diploma or equivalent required; additional certification or coursework in medical office administration or related field preferred.
  • Previous experience in a medical office or healthcare setting, particularly in mental health or outpatient care, is highly desirable.
  • Strong knowledge of insurance verification processes, including benefits verification, claims processing, and understanding of various insurance plans.
  • Excellent customer service skills with a compassionate approach to interacting with patients and handling sensitive situations.
  • Exceptional organizational skills and the ability to manage multiple tasks efficiently in a fast-paced environment.
  • Proficiency in using electronic medical records (EMR) systems and office software.
  • High attention to detail and accuracy in handling patient information and financial transactions.
  • Ability to maintain confidentiality and adhere to HIPAA regulations.
