Summary

Exercise fiduciary responsibility for the accurate tracking and reporting of expenses and activities against grant funds and other financial resources. Serve as liaison between the department and finance and MIS departments. Assist with the annual update to the comprehensive plan, and other related planning documents. Prepare periodic reports to HUD and other agencies including staff, and provide reports and data related to projects.

Essential Job Functions

A. Review invoices and other payment requests, code properly, and forward for payment

1. Assigning general ledger codes for expense and cost allocation

2. Audit invoices for accuracy and eligibility

3. Forward payment items to accounts payable in a timely manner

4. Examine requisitions for completeness and accuracy, assign general ledger codes, and process for approval

5. Coordinate the status of submitted payment items with project managers

6. Responsible for document imaging, indexing, uploading and e-mailing approved contractor pay requests, invoices, check requests and contract data and grant data

7. Research contracts, invoices, requisitions and reimbursement request as may be required

B. Compile data, report performance, track projects and prepare reports using computer software

  1. Utilize Yardi software to enter new grant award budgets and update grant status in software

  1. Utilize Yardi to enter contracts, contract modifications and contract status

  1. Obtain signatures on approving on approved contracts, distribute to contract administrator and send e-mail notifications of contract awards.

  1. Review budgets in Yardi and LOCCS for accurate expense allocation and revenue data and work with HUD, finance or MIS to make any needed corrections

  1. Responsible for tracking obligation, expenditure timelines, performance and evaluation reports, and notifying department Director and department staff

  1. Review weekly accounts payable activity reports for accuracy and communicate any necessary corrections
