Accounts Receivable / Accounts Payable Manager

Reports to: Finance Manager

SUMMARY:

The AR/AP Manager is responsible for overseeing accounts receivable and accounts payable related functions. This role ensures accurate and timely processing of invoices, payments, and collections while maintaining effective relationships with vendors and customers. The AR/AP Manager will also play a key role in financial reporting and analysis, ensuring compliance with company policies and procedures, and driving process improvements within the finance department. Additionally, the AR/AP Manager will lead and develop a team of AR and AP professionals to achieve departmental and organizational goals. This AR/AP Manager position reports to the Finance Manager and positions reporting to the AR/AP Manager include AR Collection Clerks and AP Clerks/Coordinators.

RESPONSIBILITES:

Accounts Receivable:

  • Manage the invoicing process, ensuring timely and accurate billing to customers.
  • Directly manage the AR collections process and team member(s).
  • Handle customer inquiries and disputes, providing resolutions in a professional manner.
  • Manage the timely conversion of unbilled tickets to invoices.
  • Prepare and review demand letters, identifying and addressing delinquent accounts.
  • Manage customer accounts and online price books.
  • Coordinate with sales and customer service teams to resolve billing issues.
  • Perform AR month-end closing duties including reviews, reconciliations, etc.

Accounts Payable:

  • Oversee the processing of vendor invoices, ensuring proper coding and approval.
  • Directly manage the AP team member(s).
  • Manage payment schedules and ensure timely payments to vendors.
  • Reconcile vendor statements and resolve any discrepancies.
  • Manage and set up vendor accounts assuring required documentation is in place.
  • Review and code credit card and electronic bank payment transactions.
  • Assist in preparation and processing of the check run.
  • Perform AP month-end closing duties, including reviews, reconciliations, etc.

TEAM MANAGEMENT / OTHER DUTIES

  • Provide strong leadership to the AR and AP teams, fostering a positive and collaborative work environment.
  • Conduct regular performance evaluations, set clear objectives, and provide constructive feedback.
  • Manage the workload of the team, ensuring tasks are appropriately assigned and deadlines are met.
  • Address and resolve any conflicts or issues within the team promptly and effectively.
  • Assist in the preparation of compliance reporting.
  • Support internal and external audits by providing necessary documentation.
  • Conduct variance analysis and provide insights on information.

SKILL REQUIREMENTS:

  • Strong understanding of AR and AP processes, procedures and practices
  • Strong understanding of accounting principles and practices.
  • Proficiency in accounting software and Microsoft Office Suite (especially Excel).
  • Excellent analytical and problem-solving skills.
  • Strong attention to detail and accuracy.
  • Effective communication and interpersonal skills.
  • Ability to work under pressure and meet tight deadlines.
  • Proven experience in managing and developing a team.
  • Ability to process large amounts of data in timely and organized manner
  • Confidentiality and trustworthiness
  • Self-starter

EDUCATION:

  • High School Diploma or GED equivalent
  • Accounting Degree (preferred but not required)
  • Business or management degree (preferred but not required)

EXPERIENCE:

  • 5+ years of experience in accounts receivable and accounts payable, with at least 2 years in a managerial role.
