POSITION TITLE: Meeting Planner, Consolidated Services

STATUS: Full time / Exempt

LOCATION: Chicago, Illinois (Hybrid: 2 days/week on-site, 3 days/week remote)

The National Council States Boards of Nursing (NCSBN) is an independent, not-for-profit organization through which nursing regulatory bodies act and counsel together on matters of common interest and concern affecting public health, safety and welfare, including the development of nursing licensure examinations. Our mission empowers and supports nursing regulators in their mandate to protect the public.

JOB SUMMARY

We are seeking a talented meeting planner to join our Consolidated Services team. The ideal candidate will bring value to the team by overseeing the administration of NCSBN external conference logistics.

Reporting to the Meetings Manager, Consolidated Services, the Meeting Planner will serve as the primary liaison between Consolidated Services and NCSBN Business Owners, and will provide accurate, prompt, and professional support to NCSBN’s departments by leveraging skilled resources.

RESPONSIBILITIES

  • Creates Request for Proposals (RFPs) for meeting locations and makes recommendations to Meetings Manager on locations/dates. Maintains all meeting contracts.
  • Oversees the creation of all event registration sites.
  • Complete all banquet orders for external conferences and work with conference hotel meeting coordinator to ensure all NCSBN meeting needs are met including meeting space and set-up and ensure adequate staff support.
  • Maintains relationships with meeting vendors and addresses issues immediately. Partners with AV team to provide all AV needs for the meeting, including streaming and recording as needed.
  • Ensure all speakers are secured and speaker contracts are generated. Ensure all meeting evaluations are sent out and results are reported out.
  • Acquires and maintains competent knowledge of relevant products, current support policies, and methods of support delivery to achieve established performance metrics based on standard operating procedures. Makes recommendations for continuous process enhancement.
  • Performs other duties as assigned.

QUALIFICATIONS

  • Bachelor’s degree preferred with minimum 5 years of professional experience in a similar role
  • CMP preferred
  • Strong organizational, critical thinking and analytical skills
  • Professional interpersonal skills and excellent customer service skills
  • Effective communication skills
  • Attention to detail, adaptability and flexibility in a fast-paced environment
  • Travel Requirements: Estimated 20% of role
  • Computer Skills: Microsoft Office suite (Outlook, Word, Excel, PowerPoint); Zendesk Ticketing Application; Understanding of databases; Web ; Cvent, Wufoo, and Accelevents
