The Sr. Specialist will manage the implementation and day-to-day project management process for assigned web projects within our tech, manufacturing, non-profit, education, pharma, healthcare, and life science clients. This position demands the ability to produce and track successful personalized action plans for each client to achieve their goals.


The Web Project Manager is an experienced problem-solver who leads interactive website projects from inception through strategy, design, development, and completion, ensuring the final product meets stakeholder needs and exceeds client expectations. Successful Web Project Managers assume a sense of ownership over their projects and are invested in delivering a final product the client, agency are proud of. They are able to efficiently plan, organize, prioritize, and coordinate with different specialists and studios, concurrently, across multiple projects.


The ideal candidate is passionate about our Development Studio specialty areas (information architecture, user experience, and development) and the products we create (websites, landing pages, web apps, and more). They will work with team members across our service lines, including Strategic, Creative, and Interactive, to lead projects that support our clients’ marketing efforts. The Sr. Specialist will also champion planning and allocating resources, preparing budgets, monitoring progress, and keeping stakeholders informed throughout the project lifecycle. Building and maintaining strong, trusted relationships with clients and internal team members are key responsibilities of this role.


This role involves managing daily interactions with clients and acting as their advisor and strategic partner to ensure project delivery and client satisfaction. The Sr. Specialist will also contribute to strategy by providing insights from their knowledge of client work and business. They will coordinate with other service studios to ensure project goals are met, and the right resources and expertise are allocated. Using project management tools such as Asana and Parallax is preferred, as is the capacity to work effectively in a fast-paced and dynamic environment.



Responsibilities 

As a Sr. Specialist, Web Project Manager, you will:

Project Planning and Execution:

  • Develop comprehensive project plans outlining scope, timelines, resources, technical requirements, and deliverables while also considering industry standards and best practices.
  • Execute project plans, monitoring progress and making adjustments as necessary to ensure successful delivery.
  • Lead milestones and tasks of all assigned web projects (via our project management tools), including production resource allocations, capacity constraints, and efficiency improvements.

Stakeholder Communication:

  • Act as a central point of contact for project stakeholders, providing regular updates on project status, risks, and issues.
  • Facilitate effective communication between team members, management, and other stakeholders.

Risk Management:

  • Identify potential risks and issues impacting project delivery and develop mitigation strategies.
  • Proactively address and resolve challenges to ensure project success.

Quality Assurance:

  • Implement and maintain quality assurance processes to ensure the delivery of high-quality project outcomes.
  • Conduct regular reviews and assessments to identify areas for improvement.

Team Leadership:

  • Provide leadership and guidance to project teams, fostering a collaborative and positive working environment.
  • Mentor and coach team members to enhance their skills and capabilities.
  • Collaborate with leadership to provide ongoing analysis to ensure appropriate utilization of team members and discuss staffing and capacity needs.

Budget Management:

  • Work closely with the team to manage project budgets, ensuring financial goals are met.
  • Manage expectations, helping the team achieve client goals without sacrificing their well-being.

Collaboration:

  • Maintain daily communication with clients to manage project details, address concerns, and ensure satisfaction.
  • Deliver project updates to the internal team, share client insights and project knowledge, and suggest future opportunities.
  • Contribute to strategy and share insights from knowledge of client work and business with the internal team.
  • Coordinate with other service studios to ensure project goals are met, and the right resources and expertise are allocated.


What you’ll need

  • Preferred 5+ years of related experience in a web project management role
  • Web Design or UX Design experience is a HUGE Plus
  • Experience with administrative proficiency in a CMS is also a plus
  • Daily management of assigned projects, including meetings, presentations, project tracking, task assignment, and hours or billing reports
  • Daily collaboration with other team members (strategists, UX designers, and developers) to develop marketing strategies for online experiences of our clients
  • Daily recording of all time spent on projects through our time tracking system
  • Weekly tracking of key project status and overall project health as related to milestones, touchpoints, and budgets
  • Participating in weekly team production meetings as well as daily client or internal team meetings
  • Ability to work effectively in a fast-paced and dynamic environment.
