Position Description:

Under minimal supervision, the Head Receptionist oversees the day-to-day operations of the Van Ness Studios during the School Year (Sep-May) and 4-week Summer sessions. This position, which is scheduled for 20-29 hours/week during each season, is responsible for receptionist scheduling and training, facilities to maintenance and work-orders, coordination with the School Manager to maintain information and student experience, and general receptionist duties.


Key Job Duties:

  • Ensure a welcoming environment for all patrons including a friendly and welcoming staff, seasonal signage, and the cleanliness of the environment.
  • Coordinate all facility and administrative needs including repairs and event set-up.
    • Maintaining the studio and office environments and an understanding of all in-studio technology in coordination with the Facilities Director.
    • Supervise volunteers, interns, and new reception staff as needed.
  • Hire and train receptionists in coordination with the School Manager.
    • Maintain receptionist roster, schedule shifts, and problem-solve with School Manager. Fill in shifts if an emergency arises.
    • Coordinate Mid-year evaluations for Cathedral Commons receptionists in coordination with the School Manager.
  • Maintain working knowledge of TWSB schedules, Registration Systems, and website to provide excellent customer service.
  • Assist the School Manager with maintaining information on public platforms.
  • Monitoring of shared inboxes (School and Adult Program if required).
  • Comment substitute teacher updates on studio schedule.
  • Receptionist duties such as answering phones, identifying creative solutions when challenges arise, and assisting faculty as needed.
  • Review reception hours at payroll time for the School Manager.
  • Oversee the smooth operation of rentals and private lessons for the space. Coordinate with School Manager as needed.
  • Additional responsibilities as required.

Experience, Skills, and Knowledge

  • Excellent verbal communication skills.
  • Excellent interpersonal and customer service skills.
  • Basic understanding of administrative and clerical procedures and systems.
  • Familiarity with Microsoft Office and Zoom preferred.

Hours:

Evenings and weekends as required from 20-30 hours per week seasonally.
