Job Title: Accounting Manager

Reports To: Director of Accounting

Department: Admin (10), Exempt

Location: Riverview

Summary of Primary Functions:

The Accounting Manager will oversee the entire accounts payable function within a large and fast-paced equipment dealership. This role is critical to ensuring that all financial obligations are met in a timely and accurate manner while maintaining positive relationships with vendors and internal stakeholders. The Accounting Manager will lead a team of AP specialists, drive process improvements, and collaborate closely with other departments to support the overall financial health of the dealership.

Essential Functions and Responsibilities: May include some or all of the following. Other duties may be assigned.

  • Accounts Payable Manager will lead AP department with a focus on meeting the business needs of the company
  • Maintain an optimal team structure and division of responsibilities to ensure accuracy, timeliness and efficiency in invoice processing and payment
  • Build and maintain vendor relationships through clear and consistent communication
  • Partners with company leadership to determine policy & procedures for the Company
  • Ensure timely reconciliation of vendor statements and notification of invoice dispute.
  • Participate in monthly financial closing and ensure accuracy of month-end AP postings/accruals
  • Ensure responsiveness to internal and external inquiries about invoice payment status.
  • Ensure disbursements are made in accordance with contractual terms and company policies
  • Ensure compliance with federal, state, and local regulatory requirements, including 1099 reporting
  • Oversee productivity of AP team through volume and accuracy metrics
  • Regularly conduct auditing of financial records and accounts
  • As an Accounts Payable Manager, you will act as primary AP point of contact during annual audits and assist in periodic process reviews
  • Contribute to strategic initiatives and provide AP requirements to IT as needed
  • Perform additional duties as requested by Accounting/Finance leadership
  • Handle the setup and onboarding of new vendors in the financial system, ensuring all necessary documentation is received, verified, and recorded
  • Coordinate and execute the weekly check run process, ensuring timely and accurate disbursement of payments to vendors
  • Lead the transition of vendor payments from traditional checks to NACHA ACH payments.
  • Oversee the employee reimbursement process, ensuring timely and accurate processing of expense reports in accordance with company policies
  • Process customer refunds through ACH and wire transfers, ensuring accuracy and timeliness.
  • Manage the timely processing and payment of company rent obligations, ensuring payments are made in accordance with lease agreements
  • Provide ongoing support and troubleshooting for employees using the PO tool/invoice processing tool, ensuring efficient and compliant use of the system


Qualifications: The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Bachelor's degree in Accounting, Finance, Business Administration or a related field
  • 7+ years of progressive experience in Accounts Payable including at least 3 years in a supervisory/leadership role
  • Strong command of accounting principles and practices including US GAAP
  • Experience with ERP systems and high proficiency in Microsoft Office suite, particularly Excel
  • Strong analytical and problem-solving abilities, with meticulous attention to detail
  • Exceptional organizational skills and ability to prioritize tasks to meet business needs
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across departments and levels of the organization
  • Demonstrated leadership skills with the ability to drive accountability and motivate a team to achieve AP performance goals
  • Commitment to continuous improvement and the ability to initiate and implement changes effectively
  • Strategic thinker with a proactive approach to problem-solving and decision-making

Language Skills

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Mathematical Skills

Ability to calculate accounting functions, interest, commissions, proportions, and percentages.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where standardization and inconsistencies exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
