Knickerbocker Group is seeking a Payroll Specialist to join their Finance team The Payroll Specialist will report directly to the CFO, with oversight from the Director of Financial Planning & Analysis. This individual will be responsible for the day-to-day operations of the weekly payroll function. Excellent time management and customer services skills, exceptional attention to detail, and the ability to maintain strict confidentiality and meet all payroll deadlines are fundamental requirements of this position.

 

Ideally this individual will be based out of our Boothbay office; however, we may consider one of our other office locations (Portland or Brunswick) after 6 months for the right candidate.

 

Primary Duties and Responsibilities:

  • Process weekly payroll for 130+ employee-owners, while maintaining strict confidentiality and accuracy.
  • Assist in proactively resolving payroll issues.
  • Process and submit statutory and benefits remittances on time, reconciling any balances owed.
  • Generate payroll reports, including tax fillings, benefit deductions and other required reports, ensuring compliance with regulatory requirements.
  • Support Human Resources with annual employee benefit open enrollment, benefit administration updates and salary/compensation market research.
  • Research and remain knowledgeable about current and upcoming HR and payroll regulations and best practices.
  • Update employee payroll preferences and maintain the payroll database.
  • Reconcile paid time off balances weekly and manage EPL balances.
  • Process journal entries in the company’s ERP system to reconcile Payroll and Benefit accounts.
  • Ensure compliance with state and federal tax laws and regulations for payroll and timekeeping.
  • Educate and assist employees with timecard entry and processing.
  • Assist with annual budget process.
  • Support annual audit efforts related to payroll.
  • Perform data entry, analysis and posting for accounting transactions.
  • Support A/R, A/P, G/L, and client invoicing processes as necessary.
  • Other duties as assigned.


Required Qualifications and Experience:

  • Bachelor’s degree in accounting, finance, human resources, and/or business administration, or the equivalent years of experience.
  • 5+ years of direct experience in payroll and benefit administration required.
  • Strong working knowledge of federal and state payroll laws and regulations.
  • Knowledge of accounting concepts and experience posting journal entries and reconciling accounts.
  • Proficiency in Microsoft Office required, including intermediate proficiency in Excel.
  • Database maintenance experience with HRIS programs & ERP systems.
  • Strong organizational skills with the ability to prioritize a high-volume workload.
  • Ability to work well under pressure and meet deadlines in a fast-paced environment.
  • Exhibits a sense of urgency, understands the importance of month-end closing deadlines.
  • Positive attitude, teamwork spirit with a willingness to help.
